JustFoodForDogs is seeking a Quality & Regulatory Systems Manager to build, integrate, and continuously improve the quality systems ensuring safety, compliance, and consistency of our pet nutrition products.

This role oversees supplier quality, document control, change management, state registrations, and commercialization, partnering with Regulatory, QA, R&D, Supply Chain, and Operations to enable scalable, data-driven processes while supporting growth.

Qualifications

  • Bachelor's degree in quality/regulatory or related field with 7+ years of experience.
  • Strong understanding of USDA, FDA, AAFCO animal feed regulations and supplier QC systems.
  • Experience managing QMS, document control, and supplier governance.

Responsibilities

  • Oversee supplier and contract manufacturer approval programs to meet standards.
  • Develop supplier scorecards and drive continuous improvement.
  • Lead supplier and external manufacturing audits with cross-functional teams.
  • Ensure supplier requirements and documentation are accurate and compliant.
  • Manage QMS processes including document and change control, CAPAs, and master docs.
  • Develop dashboards and KPIs to monitor system performance.

Job Summary

At JustFoodForDogs, quality is at the core of everything we do. As the Quality & Regulatory Systems Manager, you will play a critical role in building, integrating, and continuously improving the quality systems that ensure our products meet the highest standards of safety, compliance, and consistency.

This role serves as the operational backbone of our Quality & Regulatory organization, driving supplier quality, document control, change management, state registrations, and commercialization processes. You will partner cross-functionally with Regulatory, Quality Assurance, R&D, Supply Chain, and Operations to create scalable systems, leverage data-driven insights, and ensure compliance while supporting innovation and business growth.

Key Responsibilities
1. Supplier Quality & Compliance
  • Oversee supplier and contract manufacturer approval programs, ensuring suppliers consistently meet JustFoodForDogs' quality and regulatory standards.
  • Develop supplier scorecards, monitor performance, and implement continuous improvement initiatives to strengthen supplier relationships and product quality.
  • Lead and support supplier and external manufacturing audits in partnership with Quality and Strategic Sourcing teams.
  • Ensure supplier requirements, specifications, and documentation remain accurate, current, and compliant.
2. Quality Systems & Document Control
  • Manage core Quality Management System (QMS) processes including document control, change control, non-conformances, variances, CAPAs, and master documentation.
  • Oversee centralized document management, including version control, approvals, distribution, and accessibility.
  • Continuously evaluate quality systems and workflows to identify opportunities for greater efficiency, effectiveness, and scalability.
  • Develop structured repositories, workflows, and tracking tools that ensure reliable reporting and long-term system sustainability.
  • Develop and maintain quality dashboards, KPIs, supplier scorecards, and executive reporting that provide visibility into system performance.
  • Collect, organize, trend, and analyze quality metrics including supplier performance, audit results, non-conformances, and out-of-specification events.
  • Identify risks, uncover trends, and implement process improvements that strengthen supplier quality, document control, and regulatory compliance.
  • Develop and refine policies and procedures that support business growth while maintaining regulatory alignment and company standards.
4. Regulatory Compliance & Commercialization
  • Manage new registrations, renewals, updates, and ongoing compliance for pet food products across all applicable states.
  • Track registration timelines, labeling requirements, documentation, and correspondence to ensure timely submissions and compliance.
  • Serve as the Quality representative throughout stage-gate processes, ensuring supplier and material approvals are completed prior to commercialization.
  • Partner closely with Regulatory, Quality Assurance, R&D, Supply Chain, and Operations to support packaging approvals, product changes, and regulatory execution.
5. Cross-Functional Leadership
  • Facilitate communication across internal teams and external partners to ensure quality initiatives and process changes are clearly understood and successfully executed.
  • Coordinate change management activities while balancing quality, compliance, operational priorities, and business objectives.
  • Build scalable systems and governance processes that enable the company to grow while maintaining operational excellence.
Qualifications & Requirements
  • Education: Bachelor's degree required, or equivalent experience with 7+ years in quality, regulatory, or related disciplines.
  • Experience: Minimum of 5 years of progressive experience in Quality Assurance, Regulatory Affairs, Supplier Quality, Food Manufacturing, or a related field.
  • Regulatory Knowledge: Strong understanding of USDA, FDA, AAFCO, animal food regulations, supplier quality systems, state registrations, and external manufacturing oversight.
  • Systems Expertise: Experience managing document control systems, change management, quality management systems (QMS), supplier governance, and specification management.
  • Analytical Skills: Proven ability to build dashboards, develop KPIs, organize complex datasets, identify trends, and leverage data to improve business performance.
  • Project Management: Exceptional organizational skills with the ability to manage multiple priorities, complex workflows, and cross-functional initiatives in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills with the ability to influence stakeholders across all levels of the organization.
  • Business Acumen: Strong analytical thinking, problem-solving abilities, financial awareness, and a continuous improvement mindset.
