Purpose
The purpose of this role is to provide various levels of support, utilizing Ravago’s proprietary Document Management System (DMS), to ensure the successful and efficient activities of the Purchasing and Procurement needs of the organization. This position is responsible for ensuring all aspects of the DMS are compliant, accurate and efficient.

Administrative DutiesResponsible for collecting Certificate of Analysis (COA) and Certificate of Origin (COO)/Free Trade Agreements (FTA) from vendors via electronic file and ensuring these documents are organized and archived for future reference and distributionResponsible for the creation of unique documentation based on information as provided by the vendorsReview and processes the receipt, qualification, and fulfillment of customer requests for certifications and other necessary documents in a compliant and timely mannerReview DMS reports and proactively requesting missing documentation from appropriate vendorsVerify Backup Documentation is received per requests and ensuring applicable Backup Documentation is deemed necessary to fulfill requestsParticipate in supporting the continued development of Ravago’s DMS and present opportunities for improvement when applicableActively participates in daily management meetings to measure and take actions on metrics/KPI’sTransactional/Data IntegrityTrack data in spreadsheets and produce reports with analysis on a quarterly basis or as requested by leadershipProcess daily open Jobbing reports to ensure completion dates are confirmed by warehouses and ensuring the appropriate member of the Customer Service team updates the sales order dates accordinglyResponsible for the tracking and tracing of Rail Cars (RC) inbound to warehouses to ensure there are no significant delays during transit and reviewing RC’s placed at warehouses and at customer locations to prevent detention and demurrage charges from suppliersBack up SupportMay serve as a back-up to other purchasing team members at the same or above level as neededPerforms daily review of open purchase order reports to ensure ETAs are updated with the most up to date information and provides communication status to necessary parties/stakeholdersUnder the direction of the Product Specialist/Buyer, enter purchase orders in the ERP systemAll other duties as assignedSupervisory Responsibilities

Education:Diploma Required. Degree preferredEquivalent experience considered in lieu of degreeExperience:0-2 years of previous experience in a similar role preferredExperience with Purchasing, Supply Chain or a related field is highly desiredLicenses / Certifications:Valid driver’s license – requiredLanguage:Proficiency in English requiredBi-Lingual – Spanish or Portuguese is a plusWork Environment / Conditions

- $24-$26 per hour (DOE) + Bonus
