Job summary

Hilo Products, Inc. is seeking a Purchasing/Procurement Specialist to manage end-to-end procurement, sourcing, ordering, and tracking of materials to meet cost, quality, and delivery standards.

You will monitor inventory, negotiate with vendors, and coordinate with internal teams to ensure timely, accurate purchasing. The role emphasizes vendor management, accuracy in documentation, and cost-control initiatives, with opportunities to improve purchasing efficiency in a dynamic food distribution

Qualifications

  • Experience in purchasing, procurement, buying, or supply chain is preferred.
  • Familiarity with Purchase Orders, inventory systems, vendor management, and purchasing procedures.
  • Strong organizational, communication, negotiation, and problem-solving skills.
  • Excellent attention to detail and ability to manage multiple priorities and deadlines.
  • Proficiency with computers, Microsoft Office, spreadsheets, and business systems, or willingness to learn.
  • Ability to work independently while maintaining effective communication with vendors and internal departments.
  • Commitment to accuracy, cost control, and adherence to purchasing procedures.

Responsibilities

  • Monitor inventory levels and purchasing needs to ensure adequate product and supply availability.
  • Source and evaluate vendors based on pricing, quality, availability, and delivery requirements.
  • Request and compare vendor quotes and negotiate pricing and purchasing terms when appropriate.
  • Prepare and process Purchase Orders (POs), ensuring accurate quantities, pricing, specifications, and delivery dates.
  • Coordinate with vendors regarding orders, product availability, substitutions, backorders, and delivery schedules.
  • Maintain accurate purchasing records, vendor information, pricing, and procurement documentation.
  • Review invoices and receiving documents to verify quantities, pricing, and order accuracy.
  • Coordinate with Receiving, Warehouse, Sales, Accounting, and Management to address purchasing needs and discrepancies.
  • Maintain professional vendor relationships and assist with resolving quality, delivery, or order issues.
  • Identify opportunities to improve purchasing efficiency, control costs, and maintain reliable product availability.

Job Title: Purchasing/Procurement Specialist

  • Excellent attention to detail and ability to manage multiple priorities and deadlines.
  • Proficient with computers, Microsoft Office, spreadsheets, and business systems, or willing to learn.
  • Ability to work independently while maintaining effective communication with vendors and internal departments.
  • Strong commitment to accuracy, cost control, company policies, and established purchasing procedures.
