Job summary

Toll Brothers, a leader in luxury homes, seeks a Purchasing Coordinator to support bidding, contracting, and routine admin tasks in our Montgomery office. You will help prepare master agreements, manage pricing data, and coordinate contract packages with trade partners and internal teams.

Ideal candidates have 1–3 years of subcontractor agreement experience, strong Excel skills, and a collaborative approach to cross-department work.

Qualifications

  • 1–3 years of experience processing subcontractor agreements for residential construction.
  • Proficient in Microsoft Office, especially Excel.
  • Analytical skills to identify discrepancies and monitor progress.
  • Strong interpersonal and collaboration skills across departments.
  • Creative problem-solving, forward-thinking, and time management with attention to detail.
  • Ability to plan, prioritize tasks, and articulate ideas clearly.

Responsibilities

  • Prepare contracting documents including master agreements, scopes of work, and bid contract confirmation documents.
  • Validate pricing and prepare bid spreads for comparison.
  • Process contracts through DocuSign and upload signed documents to Feith.
  • Aid in obtaining pricing from trade partners for new plans and options.
  • Provide administrative support to Purchasing by reviewing EPO requests and monitoring partner requests.
  • Investigate trade partner payment inquiries and interface with Accounting as needed.

Opportunity

The Purchasing Coordinator will support the Purchasing Manager in the bidding and contracting process, preparing and managing contract documents, and providing routine administrative support to ensure smooth procurement operations.

Key Responsibilities
  • Prepare contracting documentation, including master construction agreements, scopes of work, and bid contract confirmation documents.
  • Validate pricing and prepare bid spreads for comparison.
  • Confirm accuracy and completeness of contracting packages, process through DocuSign for signature by trade partner and Toll, and upload and index signed documents to Feith.
  • Aid in obtaining pricing from trade partners for new plans, options, etc.
  • Provide administrative support to the Purchasing function, reviewing EPO requests, creating EPOs as needed, and monitoring requests from trade partners and Operations.
  • Research and confirm request validity to eliminate duplicity, providing necessary updates and backup details.
  • Notify the Purchasing Manager if pricing or budget is missing and needs contracting.
  • Investigate trade partner payment inquiries and interface with Accounting as needed.
  • Ensure all vendor insurance information is updated and accurate, following up with trade partners to resolve issues.
Qualifications
  • 1–3 years of experience processing subcontractor agreements for residential construction companies or contractors.
  • Working knowledge of Microsoft Office programs, especially Excel, and aptitude to learn new software.
  • Analytical skills: identify discrepancies and inconsistencies, and monitor progress while making necessary changes.
  • Strong interpersonal, communication, and collaboration skills to work across multiple departments and with trade partners.
  • Creative problem‑solving, forward‑thinking, and effective time management with detail orientation.
  • Capacity to plan and prioritize tasks and articulate ideas clearly and concisely.
