Job summary

Toll Brothers, a Fortune 500 luxury homebuilder, seeks a Purchasing Coordinator for its division office in St. Johns, Florida. You will support the Purchasing Manager with contracting and pricing tasks, coordinating with trade partners to ensure accurate, complete documentation.

Daily duties include preparing contracting documents, managing pricing, and processing documents through Feith and DocuSign. This role requires strong organization, problem-solving, and teamwork with multiple departments.

Qualifications

• 1–3 years of experience processing subcontractor agreements for residential construction
• Proficiency in Excel and willingness to learn new software (E1)
• Experience with pricing analysis

Responsibilities

• Prepare contracting documentation and provide administrative support: master construction agreements, scopes of work, bid contract confirmations
• Validate pricing and prepare bid spreads for comparison
• Confirm accuracy and completeness of contracting packages and process through DocuSign for signature
• Process, upload and index signed contracting documents to Feith
• Aid in obtaining pricing from trade partners for new plans and options
• Provide administrative support to the division Purchasing function
• Review EPO requests and create EPOs as needed
• Research and respond to trade partner payment inquiries; interface with Accounting as needed
• Ensure vendor insurance information is updated and accurate; follow up with partners

Toll Brothers, America's Leading Luxury Home Builder, seeks a Purchasing Coordinator for our division office in St Johns, Florida.

What is the opportunity?

The Purchasing Coordinator is responsible for supporting the Purchasing Manager with the bidding and contracting process by preparing/managing contract relevant documents. This role will also provide routine administrative support to the Purchasing function including aiding in obtaining pricing from trade partners for new plans, options, etc.

What are the role’s key responsibilities?

• Prepare contracting documentation and provide administrative support:
  • Includes master construction agreements, scopes of work, bid contract confirmation documents
  • Validate pricing and prepare bid spreads for comparison
  • Confirm accuracy and completeness of contracting package and process through DocuSign for signature by trade partner and Toll
  • Process, upload, and index complete signed contracting documents to Feith
  • Aid in obtaining pricing from trade partners for new plans, options, etc.
  • Provide administrative support to the Purchasing function in the division
• May review EPO requests and create EPOs as needed:
  • Monitor EPO requests from trade partners and Operations
  • Research and confirm the request is valid, ensuring there isn’t duplicity. Provide the necessary updates and back-up details as necessary
  • Notify Purchasing Manager if pricing or budget is missing and needs to be contracted
• Research and provide information on trade partner payment inquiries; interface with Accounting as needed
• Ensure all vendor insurance information is updated and accurate. Follow-up with trade partners timely to troubleshoot any issues
