Job summary

Toll Brothers is seeking a Coordinator, Purchasing Shared Services at our Fort Washington, PA corporate office. The role supports Division Purchasing with contract documentation, data loading, and process improvements across enterprise-level purchasing.

Responsibilities include preparing contracts, loading bid data, processing PO changes, and coordinating with Accounting on payment inquiries while ensuring data accuracy and compliance with company guidelines.

Qualifications

  • High School Diploma or equivalent is required.
  • 1+ years of experience processing subcontractor agreements for residential construction or similar.
  • Proficient with Microsoft Office, especially Excel; ability to learn EnterpriseOne and BuildPro.

Responsibilities

  • Prepare contracting documentation and provide administrative support (master agreements, scopes of work, bid docs).
  • Load bid data, takeoffs, and supplier assignments; maintain bid data accuracy.
  • Process contract changes and update POs to ensure cost accuracy.
  • Provide validation reports to confirm data accuracy for Division Purchasing.
  • Manage DocuSign contracts and store documents per national guidance.

Toll Brothers , America's Leading Builder of Luxury Homes, seeks a Coordinator, Purchasing Shared Services for our team at our Corporate office in Fort Washington, Pennsylvania.

What is the opportunity?

The Coordinator, Shared Services is responsible for supporting Division Purchasing efforts with administrative processes and activities. The Shared Service Center provides contracting support to facilitate consistent, company-wide use of EnterpriseOne (E1) and efficiencies in purchasing processes, including opportunities for contracting to be streamlined and improved. This role provides business related support through the generation of bidding spreadsheets, bid data loading, and contract documentation processing and management.

What are the primary responsibilities?

  • Focus on consistent, enterprise-wide setup, to reduce maintenance and troubleshooting
  • Prepare contracting documentation and provide administrative support:
    • Master construction agreements, scopes of work, bid contract confirmation documents
    • Load trade partner bid data, takeoffs, and Division/community Supplier Assignments
    • Process contract changes and updates to purchase orders to ensure cost and trade partner accuracy
    • Provide validation reporting to Division Purchasing teams to confirm data accuracy
    • Process contracting documentation through DocuSign for signature by trade partner and Toll
    • Store all contract and supporting bid documentation per current national guidance (e.g. FEITH, SharePoint, etc.)
  • Responsible for Lot Start and Commitment Generation process to provide accurate purchase orders to trade partners
    • Review tasks in the Lot Start Workfile for accuracy in quantity, pricing, trade partner assignment
    • Notify Division Purchasing team of missing/incorrect information to proactively maintain complete and accurate bid data
    • Confirm data successfully integrates with Production BuildPro software
  • Partner with Division Purchasing teams to troubleshoot and resolve data errors
  • Research and provide information on trade partner payment inquiries; interface with Accounting as needed
  • Ensure vendor insurance information is current and accurate
    • Notify trade partners of impending insurance expiration, including instructions on how to provide updated insurance certificates

  • 1+ years of experience processing subcontractor agreements for residential construction companies or contractors or similar
  • Working knowledge of Microsoft Office programs, specifically Excel, and aptitude to learn new software programs (e.g. EnterpriseOne and BuildPro)
  • Preferred:
    • Associate degree, equivalent Vocational or Technical Certification Experience
    • Experience with EnterpriseOne (E1) Homebuilder Sales Solution (HBSS)
    • Experience with Hyphen Solutions BuildPro software
