Job summary

VIVIBOWL in New York City is seeking a detail-oriented Purchasing Analyst to support local purchasing, supplier management, inventory, and supply chain operations for our Mexican-Asian fusion brand.

You will source and evaluate suppliers, analyze pricing, create and monitor purchase orders, coordinate with restaurant operations, and maintain accurate purchasing data while fostering strong vendor relationships. Fluency in English and Mandarin is required.

Responsibilities

• Manage local purchasing and supplier communication for food products, ingredients, packaging, equipment, and other restaurant needs.
• Source and evaluate suppliers, including quotations, pricing, terms, and service levels.
• Analyze pricing and costs to support purchasing decisions and identify cost savings opportunities.
• Create, monitor, and follow up on purchase orders and delivery schedules.
• Communicate with suppliers regarding order status, shortages, substitutions, pricing changes, product availability, and delivery issues.
• Support inventory management and planning by coordinating purchasing with restaurant operations.
• Maintain accurate supplier, product, pricing, purchasing, and inventory information.
• Monitor supplier pricing and identify significant cost changes and trends.
• Coordinate with restaurant locations regarding inventory needs, purchasing requirements, and delivery schedules.
• Assist with resolving discrepancies involving orders, invoices, deliveries, quantities, products, or pricing.
• Develop and maintain relationships with vendors and suppliers.
• Support supplier performance reviews and vendor management.
• Prepare and maintain purchasing reports, pricing comparisons, cost analyses, and other procurement records.
• Coordinate with regional and corporate purchasing teams regarding initiatives and standards.
• Support new restaurant openings and other purchasing or supply chain projects.

Purchasing Analyst (NYC) — VIVIBOWL

VIVIBOWL is a new, emerging Mexican-Asian fusion bowl brand in New York City. As we continue to grow, we’re looking for an experienced and detail-oriented Purchasing Analyst to support our purchasing, inventory, and supply chain operations.

This role will work closely with suppliers, restaurant operations, and our internal purchasing teams to ensure our restaurants have the products and materials they need while maintaining competitive pricing, reliable supply, and accurate purchasing information.

What You’ll Do

• Manage local purchasing and supplier communication for food products, ingredients, packaging, equipment, supplies, and other restaurant operational needs

• Monitor supplier pricing and identify significant cost changes and purchasing trends
• Coordinate with restaurant locations and internal teams regarding inventory needs, purchasing requirements, product availability, and delivery schedules
• Assist with resolving discrepancies involving orders, invoices, deliveries, quantities, products, or pricing
• Develop and maintain effective working relationships with vendors and suppliers
• Support supplier performance reviews and ongoing vendor management
• Prepare and maintain purchasing reports, pricing comparisons, cost analyses, and other procurement-related records
• Coordinate with regional and corporate purchasing teams regarding purchasing initiatives, standards, products, and operational requirements
• Support new restaurant openings and other purchasing or supply chain projects as needed

What We’re Looking For

• Previous professional experience in purchasing, procurement, supply chain, sourcing, inventory management, or a related field
• Experience with inventory management and purchasing coordination
• Experience in the food, restaurant, hospitality, food distribution, or related industry is strongly preferred
• Strong analytical and numerical skills with excellent attention to detail
• Ability to evaluate and compare supplier quotations, pricing, costs, and purchasing data
• Strong organizational skills and ability to manage multiple purchasing requests, suppliers, and deadlines
• Strong vendor communication and relationship-management skills
• Proficiency with Microsoft Excel and other Microsoft Office applications
• Ability to work effectively with restaurant operations and cross-functional teams
• Bachelor’s degree in Supply Chain Management, Business Administration, Finance, Economics, Hospitality Management, or a related field preferred

Language Requirement

• Professional proficiency in both English and Mandarin Chinese is required
• Mandarin proficiency is required due to regular business communication and coordination with Mandarin-speaking suppliers, purchasing teams, and internal business partners

Bonus Points

• 3+ years of purchasing, procurement, or supply chain experience
• Previous purchasing experience within the restaurant or food & beverage industry
• Experience managing food and restaurant inventory
• Experience sourcing food ingredients, packaging, restaurant supplies, or equipment
• Familiarity with the New York City food-service supplier market
• Experience working with multiple restaurant locations
• Experience with purchasing, inventory, ERP, or supply chain management systems

Compensation

$70,000–$85,000 per year

Actual compensation will be determined based on the candidate’s relevant experience, education, qualifications, skills, and other job-related factors.
