Job summary

Billings Clinic is seeking a Purchasing Agent for the Supply Chain Operations at the Main Campus in Billings, MT. The role focuses on representing departments, placing orders for supplies and equipment, and managing inventory to ensure continuous operations.

Essential duties include reviewing contracts, quoting, and cost analyses, along with maintaining supplier relationships and supporting cost containment goals in a dynamic hospital environment.

Qualifications

  • High school graduate required.
  • Two (2) years of college in related field, preferred.
  • Two (2) years purchasing experience, preferred.
  • Data Entry 75-100 SPM, testing documentation required.
  • Basic Excel proficiency.

Responsibilities

  • Creates and submits purchase orders for supplies, equipment and services.
  • Ensures orders do not become delinquent and assists departments with requests.
  • Reviews quotes and coordinates with departments on purchasing needs.
  • Maintains inventory control and product availability.
  • Resolves invoice discrepancies and handles returns or replacements.

Shift: Day

Employment Status: Full-Time (.75 or greater)

Hours per Pay Period: 1.00 = 80 hours every two weeks (Non-Exempt)

Starting Wage DOE: $17.15 - 21.44

Supply Chain Operations Purchasing Agents are responsiblefor representing all departments of Billings Clinic in a dynamic fast pacedenvironment where change is the norm, not the exception. They take pride andownership in providing exceptional customer service. The Purchasing Agent isresponsible for placing orders for materials, equipment, products or servicesand inventory control for Billings Clinic, branch sites and/ormanaged/affiliate facilities. The purchasing agent makes recommendations for effectiveand efficient inventory management based on trending and historical practicesto include, but not limited to; par levels, substitute recommendations,purchasing processes, and census capacity. This position will rotate throughthe entire job functions listed below and will perform clerical andadministrative tasks as needed for support of the department and the organization.

Essential Job Functions
  • Supports and models behaviors consistent with the missionand philosophy of Billings Clinic and department/service.
  • Creates and submits purchase orders for supplies, equipment and services.Ensures orders do not become delinquent. Assists departments in completingpurchase requests. (Resource Management, Supply Chain, Purchase Requests)
  • Reviews GPO contracts and verifies required purchase order information toinclude price and terms (Resource Management, Supply Chain, GPO Contracts)
  • Reviews capital requests for accurate content and adherence to policies.Obtains quotes and performs quote review and analysis. Tracks financialaccruals to avoid over expenditures per capital. Reviews MD Buyline reports andis able to accurately discuss results with customers and SCO Leadership(Resource Management, Supply Chain, Capital Requests)
  • Designs and implements product standardization and inventory controlstrategies to enhance distribution, minimize supply utilization, reduceinventory and obsolescence. (Resource Management, Supply Chain, InventoryControl)
  • Ensures availability of quality product and equipment and avoidance ofshortages. Plans and organizes the special order supplies. (ResourceManagement, Supply Chain, Product Availability)
  • Recommends development, revisions and implementation of standards forpurchasing of supplies and equipment. Coordinates approved changes. (ResourceManagement, Supply Chain, Equipment Purchasing)
  • Participates in department and hospital committees to ensure that value,quality and cost containment goals are met. core
  • Compiles statistical reports on purchasing activities. (Administrative, DataAnalyses, Statistics)
  • Generates reports on product consumption, par level compliance, etc; documentssupply cost savings and/or cost expenses with appropriate justifications.(Resource Management, Reporting, Generates Reports)
  • Reads and reviews purchase requests and assigns proper general ledger codes topurchases. (Resource management, Accounting, Assigns General Ledger Codes)
  • Resolves invoice discrepancies. Expedites and arranges for credit, return orreplacement of defective or damaged items. (Customer Services, ExternalCustomers, Invoice Discrepancies)
  • Creates and maintains Supply Chain Operations information system master filesin direct coordination with Supply Chain Operations Informatics Analyst.(Resource Management, Supply Chain, SCO IS Systems)
  • Identifies needs and sets goals for own growth and development; meets allmandatory organizational and departmental requirements.
  • Maintains competency in all organizational, departmental and outside agencyenvironmental, employee or patient safety standards relevant to jobperformance.
  • Performs other duties as assigned or needed to meet the needs of thedepartment/organization.
Minimum Qualifications
Education
  • High school graduate
  • Two (2) years of college in related field,preferred
Experience
  • Two (2) years purchasingexperience, preferred
  • Prior purchasing , warehousing, distribution,shipping and receiving or data entry experience is preferable
  • Data Entry 75-100 SPM, testing documentation required
  • Basic Excel proficiency
  • Or an equivalent combination of education and experiencerelating to the above tasks, knowledge, skills and abilities will be considered
