Penguin Random House Audio is seeking a proactive, detail-oriented Publishing Assistant to join a fast-paced Audio Content team in New York City. You will support the Executive Editor and cross-functional teams on front-end audio publishing operations.

The role requires prior admin and project management experience, proficiency with MS Office, and a passion for publishing and audiobooks. This is a hybrid position with in-office 2–3 days per week.

  • Enter title-specific information into FileMakerPro database for each acquisition.
  • Create and circulate announcements when new titles are added into the schedule.
  • Provide special project support (presentations, research, submissions).
  • Provide contractual author copies for audio and large print.
  • Create contract drafts for all out of house acquisitions.
  • Negotiate author narration fees for editorial and production teams.
  • Run the weekly editorial meeting and submission divvy.
  • General administrative support for the department including inbox coverage.

Job Description

Penguin Random House Audio is seeking a proactive, detail-oriented Publishing Assistant to join their dynamic, fast-paced team.Reporting to the Executive Editor, the Assistant will perform a wide variety of tasks to support the Audio Content team. While interacting with colleagues across the Audio division and through the rest of the company, this role will work on the front-end of our audio publishing program as we continue to grow our core business.

Essential Functions and Responsibilities:

  • Works with the Content team to set up title ISBNs for each new audio and large print acquisition (approx. 2200 per year.)
  • Liaises with Sales, Contracts, Finance and Managing Editorial teams to ensure the Audio Content team meets key deadlines.
  • Manages the Audio Content team calendar and scheduling support for SVP and Executive Editor.
  • Enters title-specific information into PRH Audio’s FileMakerPro database for each acquisition.
  • Creates and circulates announcements when new titles are added into the schedule.
  • Special project support (create presentation decks, assist with research projects, read submissions).
  • Provides contractual author copies for audio and large print.
  • Creates contract drafts for all out of house acquisitions.
  • Negotiates author narration fees on behalf of the editorial and production teams.
  • Runs the weekly editorial meeting and submission divvy.
  • General administrative support for the department as needed, including inbox coverage for the editors and SVP.
Qualifications
  • Prior admin/office and project management experience
  • Interest in publishing and the audiobook business
  • Experience working on multiple projects simultaneously, prioritizing, and balancing deadlines
  • Excellent organizational skills with a focus on attention to detail
  • Ability to work independently, tackle tasks proactively, and provide solutions to obstacles when they arise
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint), with an eagerness to learn new tools, technologies, and software
Additional Information

The Penguin Random House national headquarters is located in New York City. This is a hybrid position with an expectation to be in the office approximately 2 - 3 days per week. Candidates must reside within a commutable distance of our New York City office at 1745 Broadway, including the tri-state area (New Jersey, Connecticut, and Pennsylvania).

The salary for this position is $55.000.All positions are currently eligible for annual profit award or bonus, subject to Company results.

The salary range listed is specific to each particular open position and takes into account various factors including the specifics of the individual role, and candidate's relevant experience and qualifications.
