Job summary

King County is seeking an Administrative Specialist III to oversee supplies, inventory, and equipment for Jail Health Services. Description

The person selected for this Administrative Specialist III position will oversee and coordinate supplies, inventory, and equipment functions for Jail Health Services using independent judgment under limited supervision. The incumbent will train, distribute work, and provide direction to co-workers, and will monitor their progress as well as the quality and completion of work. The incumbent will also cross-train and back up other Administrative Specialist III personnel working in Jail Health Services, for example, for payroll functions.

2009 hourly rates for this position are pending contract ratification.

The person selected for this position will be required to work Sunday through Thursday or Tuesday through Saturday from 7:00a.m. to 3:30p.m. Some occasional evening shifts may be required.

This position will have split days between KCCF (downtown Seattle) and RJC (Kent).

Examples of Duties
  • Serve as Lead for supplies/inventory/equipment functions for Jail Health Services, and distribute work load among other office employees, provide direction and training and monitor the quality and completion of work. Plan work organization, approve leaves, establish work methods, recommend changes in work load and procedures, participate in employee selection process, and provide input on the performance of co-workers.
  • Interpret established policies, procedures, regulations, internal data, and other requirements in order to provide authoritative program-specific information to customers (e.g., managers, vendors, section employees).
  • Research and summarize specialized or technical information from varied sources (e.g., about needed product/equipment specifications or product/equipment options), and make recommendations.
  • Organize, oversee, establish and maintain data sources (e.g., using Excel, Access, and so on) that may include contracts, budgets, payroll, inventory, warranty and service history, and/or other records. Perform basic analytical functions, and summarize complex data into easily text and graphic forms.
  • Maintain sufficient stock of needed medical and office supplies. Perform inventory monitoring/reconciliation activities.
  • Stock supply rooms/areas (including supply outstations and medical rooms, among others).
  • Monitor existing medical/dental equipment, and arrange for repair/replacement, as indicated, following standard procedures.
  • Compose, draft, summarize, prepare, proofread and/or edit documents, forms, contracts, and/or correspondence to ensure these conform to the appropriate use of the English language, specialized terminology and established procedures. (Will include creation of entirely new forms)
  • Perform financial, payroll or other financial/numeric work requiring the application of accepted bookkeeping or basic accounting methods and applications.
  • Schedule meetings and maintain calendars for organizational unit/program.
  • Perform other duties as assigned.
  • Transport medical and office supplies to and from the Regional Justice Center and King County Correctional Facility as needed.

  • Public Health relies on office automation (Microsoft Office) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.

Sick Leave

Sick Leave is accumulated at the rate of one day per month. There is no restriction on the amount of sick leave that can be accumulated and carried over to subsequent years. At retirement an employee will be paid 35% of their unused, accumulated sick leave. Non-represented employees and employees in certain bargaining units will receive this benefit as a payment to a VEBA account, which pays for post-retirement health benefits on a pre-tax basis.
