Job summary

Qualifications

  • Bachelor's Degree from an accredited college and 5 years of experience in large-scale event planning and management, preferably in a public or non-profit organization.
  • A fundamental understanding and knowledge of visitor experience management using modern practices; experience in high-visitation settings is desirable.
  • Ability to think creatively and generate new ideas for impactful community engagement.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with diverse groups.
  • Proficiency in budget management and logistics.
  • Strong leadership and team management abilities.
  • Problem-solving skills with the ability to troubleshoot issues.
  • Flexibility and adaptability to work in a dynamic environment and handle changing circumstances.
  • Valid Drivers' License that must be maintained for duration of employment.

Responsibilities

  • Oversee all aspects of event planning and logistics, including developing new and re-envisioned public programs.
  • Coordinate with internal teams and partners to incorporate community input and participation.
  • Develop and manage detailed project plans, timelines, budgets, resources, and metrics.
  • Lead the permit application process for all programs.
  • Schedule and contract external facilitators, vendors, and performers, ensuring paperwork and payments.
  • Serve as primary internal liaison for event load-in and load-out and coordinate with vendors and staff.
  • Brief key staff and delegate responsibilities to ensure timely completion of tasks.
  • Develop guidelines for on-site crowd control and safety measures.
  • Maintain inventory and proper care of equipment, materials, and supplies.
  • Track attendance and feedback to evaluate program effectiveness and inform future planning.
  • Prepare written materials for reports to senior staff and funders; collaborate with Marketing for collateral.
