Qualifications

Job Description

This is a full-time, hybrid position: Monday - Friday, with 3 days in the office and 2 days remote. Flexibility in onsite availability is required, with shifts including:

  • 1 evening closing shift: 12:30 pm - 9 pm
  • 1 mid-day shift: 10:30 am - 7 pm
  • Other shifts: 8:30 am - 5 pm
Essential Job Functions
  • Greet patients and families, schedule appointments, hospital and ambulatory admissions/procedures, ensuring timely actions.
  • Answer calls promptly, direct calls appropriately, take accurate messages, and demonstrate proper telephone etiquette.
  • Schedule future appointments, tests, and referrals as ordered by physicians.
  • Maintain communication resources such as on-call schedules and MD contact information.
  • Prepare charts for new patients, ensuring all forms are correctly placed, and convert temporary records to permanent before day's end.
  • Request and prepare medical records to provide physicians with all necessary information before visits.
  • Reconcile encounters daily according to policy and guidelines.
  • Monitor supply inventory and handle requisitions for supplies, forms, and equipment.
  • Perform clerical duties: faxing, photocopying, filing, mailing.
  • Update and verify patient information, maintaining confidentiality.
  • Complete necessary forms accurately and respect patient rights and privacy.
  • Establish positive relationships with physicians and nursing staff and communicate issues promptly to the Nurse Manager.
General Job Functions
  • Book and schedule inpatient, outpatient, and special procedures.
  • Arrange for specialty equipment/services and interact with vendors.
  • Understand hospital documentation requirements and pre-admission testing data collection.
  • Maintain knowledge of insurance, pre-certification, and scheduling systems.
  • Provide training to staff, log surgical procedures, and manage scheduling adjustments.
  • Exhibit customer service skills to alleviate patient anxiety and communicate effectively with peers.
  • Handle repair orders, demonstrate good judgment in scheduling, and understand fire safety/emergency procedures.
  • Perform other duties as required.
Physical Job Requirements
  • Pushing, pulling, lifting, and moving objects, considering frequency and weight.
  • Physical mobility, agility, dexterity, balance, and endurance for prolonged activities.
Education, Certification, Computer, and Training Requirements
  • High School diploma or GED required; an Associate Degree is preferred.
  • Heartsaver certification within 30 days of hire.
  • Previous PSR and office experience preferred.
  • Excellent communication, data entry, organizational skills, and knowledge of medical terminology preferred.
  • Proficiency in computer use, EHR, Practice Management System, and departmental systems preferred.
Travel

Ability to commute to satellite offices as needed.
