Job Summary

Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to a sizable specific program or multiple program functions of assigned department’s internal and external customer service, human resource and financial management operations pertaining to areas including (but not limited to) academic, research, health sciences, and community outreach. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.

Responsibilities

  • Recruiting, hiring, and training staff to perform essential functions of the department.
  • Providing sufficient coverage to ensure ocular services are performed in seamless and timely manner.
  • Ensuring staff compliance with technical SOPs to meet EBAA and FDA inspection standards.
  • Performing and/or assisting with annual competency reviews required for certain eye bank staff with the consultation and participation of the Medical Director.
  • Understanding of OSHA regulations and requirements for the reporting of an exposure to bloodborne pathogens; ensuring compliance of all technical staff with OSHA regulations and practice of Universal Precautions.
  • Familiar with the operation and maintenance of all eye bank laboratory equipment.
  • Participating in the annual review of the SOP manual; providing revisions to the SOP as often as necessary to ensure compliance with state, federal and EBAA regulations and Medical Standards.
  • Ensuring staff competencies annually for processing and slit lamp evaluation of donor tissue.
  • Processing and preparing specialized ocular grafts for transplant procedures including, but not limited to endothelial transplants.
  • Related duties include preparation, evaluation and release of processed tissue as well as assisting the quality department in coordinating maintenance of required supplies and equipment.
  • Participating and complying with established Quality Assurance policies and assist with routine monitoring upon request.
  • Serving as part of the department’s administrative leadership team.
  • Ensuring customer satisfaction by analyzing customer complaints, concerns and suggestions.
  • Providing appropriate follow through to ensure quality customer service.
  • Facilitating cooperative and collaborative relationships with the community and other institutions.
  • Managing department’s budget; estimating budgetary requirements for special projects and overseeing purchases and inventory for marketing/business development related needs.
  • Implementing and administering new and existing department programs and services to internal and external customers.
  • Assisting Executive Director in organizing and planning strategic/performance goal-setting initiatives.
  • Developing and distributing regular business development reports to objectively gauge effectiveness of development efforts as well as communicate service delivery needs to appropriate eye bank personnel.
  • Compiling and managing customer/surgeon profiles in electronic CRM database.
  • Working closely with ULEB leadership to identify innovative business opportunities generating growth and a diversified business model.
  • Consulting and collaborating with the Executive Director and Medical Director in order to plan and prepare for EBAA Accreditation Inspections; facilitating and participating in FDA inspections as needed.

Minimum Qualifications

Bachelor’s degree in Business, a Public Administration-related area, or equivalency required; plus six years of progressively more responsible management experience; demonstrated leadership, human relations and effective communication skills also required.

Knowledge of all ULEB Standard Operating Procedures, state and federal tissue banking regulations, EBAA Medical Standards, and EBAA Accreditation Board policies.

Possess skills in aseptic technique and manual dexterity.

Strong leadership and communication skills to effectively manage staff and maintain favorable relationships with key stakeholders.

Understand the needs of the customers and determine what products and services should be provided to meet those needs.

Interact professionally with all persons, both internal and external, in a friendly, customer service-oriented manner.

Ability to be a supportive team member.

Possess excellent computer skills & ability to generate departmental reports for key performance indicators.

Address problematic situations and often act as a mediator or a negotiator.

Preferences

Master’s degree in Business Administration or related area preferred.

Certification as an Eye Bank Technician by the Eye Bank Association of America.

Background in medical/laboratory fields preferred.

Previous demonstrated leadership experience.
