Position Summary / Career Interest

The Provider Recruiting Coordinator is responsible for supporting the recruitment process for physicians and CRNAs within a large academic health system. This role involves sourcing candidates, conducting initial contact, and coordinating onsite and virtual interviews. The Provider Recruiting Coordinator will work closely with physician recruiters, department administrators, and various other key stakeholders to ensure a seamless and positive experience for candidates. The ideal candidate is a team player with a collaborative approach to problem-solving, maintains a high level of professionalism and integrity, and is self‑motivated.

Responsibilities and Essential Job Functions
  • Job Descriptions and Advertising: Prepare professional job descriptions and ad layouts for review and approval and post them on applicable platforms. Gather advertising venue costs and administration information to evaluate cost-effectiveness, and review findings with the director and recruiters. Prepare and place ads, document expenses in the candidate tracking database, track ad renewal/discontinuation dates, and collect data to report on the effectiveness of job placement ads.
  • Candidate Sourcing and Tracking: Proactively source candidates from databases, enter candidate information into the tracking database, and conduct appropriate and timely follow-ups. Maintain awareness of open positions and changing priorities, ensuring appropriate follow-up. Extract and create reports on sourcing and position data as requested. Maintain and update a candidate database to ensure a robust talent pipeline.
  • Interview Coordination and Relationship Management: Assist in developing itineraries for site visits, including sending meeting invites. Build and maintain positive relationships with candidates, hiring managers, and internal recruitment partners.
  • Compliance and Professionalism: Comply with safety policies, regulatory requirements (including OSHA, CMS, The Joint Commission, etc.), and participate in corporate-wide and departmental safety activities. Understand the hospital's mission, vision, values, culture, and policies, and adhere to policies, processes, and compliance regulations. Project a professional image at all times and maintain a high level of confidentiality in verbal and written communication.
  • Workflow and Administration: Independently plan, organize, and complete daily work within guidelines established by the Director of Physician and Provider Recruitment to ensure efficient workflow within the department. Assist in maintaining accurate recruitment records, reports, and candidate profiles. Demonstrate knowledge of Medical Education (ACGME) Directory and other Graduate Medical Education resources or acquire this knowledge, including contact information for individual residents and fellows.
  • Professional Development and Collaboration: Demonstrate positive interpersonal skills with internal and external customers in a professional manner. Pursue continued self–professional growth opportunities to increase knowledge and understanding of the organization and the physician recruiting and retention industry.
  • Other Duties: Exhibit outstanding organizational and critical thinking skills. Prioritize a heavy workload and demonstrate flexibility to accomplish projects within established time frames while maintaining confidentiality. Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Required Education and Experience
  • High School Graduate or equivalent
  • Experience with or the ability to learn working with database applications.
Preferred Education and Experience
  • Bachelors Degree in Human Resources, Healthcare Administration, Business, or a related field
  • Experience with in‑house Physician Recruitment or Physician Recruitment Marketing and Sourcing.
Knowledge Requirements
  • Exceptional communication skills, both written and verbal, including proper grammar, spelling, punctuation, and knowledge of business correspondence formats.
  • Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint, and Outlook).
  • Proficiency in InDesign software or the ability to learn.
  • Proficient keyboarding skills and proofreading abilities.
  • Strong organizational skills and attention to detail.
  • Ability to multi‑task independently and work effectively in a team environment.
  • Reliable transportation.
  • Demonstrated process improvement skills.
