Department Information
The mission of the Office for Research Administration is to provideexceptional support for Indiana University's (IU) researchcommunity in order to catalyze research productivity and protectthe institution and its research community from risk.
Job Summary
This position is responsible for review and submission of bothstandard and complex proposals and post-proposals actions,including acceptance or acknowledgment of award documents. The roleis responsible for advising other team members on questions orissues related to proposal services functions. This position hasresponsibilities as an authorized official representative and is asignatory for the university.
Department-Specific Responsibilities
- Responsible for proposal review and submissions, post-proposalsponsor requests, and award acceptance of sponsored projects.
- Responsible for training, policy and procedure implementation;committee service; and resolution of complex issues.
- Required to remain up-to-date on all electronic systems forproposal submission, acceptance, award management and reporting andto disseminate this information to all team members.
- Oversees proposal review and submission, post-proposal actionreview and submission, and award acceptance for a specific group ofsponsored project accounts.
General Responsibilities
- Ensures proposal review, submission, financial monitoring andcloseout of large-scale sponsored projects; reviews, analyzes, andinterprets external sponsor's submission guidelines; createsbudgets and administrative forms on behalf of faculty, staff, and researchers as needed.
- Advises and mentors the development and submission of grantproposals and explains complex issues to the staff and facultyinvestigators; provides review, approval and advice about proposalmaterials; investigates and answers questions from sponsors,researchers, fiscal officers, research administrators and others;counsels researchers and staff on the preparation of budgets,completion of certifications, and institutional information toensure compliance with university policies, federal regulations,and sponsor guidelines; initiates action to resolve problems whennecessary; assists faculty and staff in identifying documents orforms needed in connection with pending or funded projects; followsup on all correspondence to ensure that appropriate action is takenor information provided.
- Monitors expenditure transactions on sponsored project accountsfor allowability, allocability, reasonableness, and financialcompliance with university, state, federal, and sponsorrequirements, and allows or disallows the transactions accordingly;advises and mentors other staff members in regards to complexfinancial transaction issues; provides experienced guidance to thefaculty and departmental administrators on allowable expendituresand relevant federal and sponsor guidelines; escalates questions asneeded to ensure efficient completion of tasks; ensures timely andefficient flow of information and file management in connectionwith proposals, award and other types of agreements, and sponsoredproject accounts; utilizes various internal and external systems(such as Kuali, FastLane, ASSIST, National Institute of Health(NIH) Commons and Grants.Gov) extensively for proposal submissions,project changes, and account monitoring.
- Evaluates existing policies, researches and proposes newprocedures and tools, and collaborates to identify best practicesand approaches; reviews and makes recommendations to improvecompliance policies and procedures necessary for all aspects ofresearch administration; interprets and applies dynamic sponsorrules and guidelines; builds and maintains reference manuals andother critical documentation.
- May mentor less experienced staff, conduct regular training andeducational sessions, and provide guidance to team members, staffand faculty on federal, state and university policies, particularlywith seemingly conflicting or vague policies and regulations.
- Attends and participates in various professional developmentopportunities, including seminars, webinars, workshops, andconferences organized by external sponsors and/or professionalorganizations; attends and participates in training opportunities;designs, develops, and conducts training programs, materials,workshops and other activities to a wide university audience as newinformation becomes available or new policies and procedures areimplemented.
- Represents university to external sponsors by responding toquestions and resolving concerns in relation to proposalsubmissions or award documents.

This position is posted at the Advanced career level, butmay be filled at the Career career level depending on thecandidate's qualifications. Although they will be similar, theduties and responsibilities may differ if filled at the lower rank.Please see the qualifications for each level listed below.

Working Conditions / Demands
This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment. The position involves sedentary work as well as periodsof time moving around an office environment and the campus. Theperson in this role must be able to perform the essential functionswith or without an accommodation.
