Job description

Job Summary

Aptive is seeking a detail-oriented Proposal Manager with experience managing federal business proposals to join the Bid & Proposals (B&P) group. The B&P group supports the organization in achieving business growth goals through proposal management, technical writing, and graphic development. As a Proposal Manager, you will lead the development of high-quality, compliant, and compelling client bids.

This role requires collaboration across all levels of Aptive, gathering information and producing content under tight deadlines, while ensuring accuracy and confidentiality. The Proposal Manager must understand RFx requirements and leverage existing documentation to craft effective responses.

This is a full-time remote position.

Primary Responsibilities

1. Create calendars and milestones for bids, ensuring adherence to timelines
2. Develop outlines for compelling and compliant approaches
3. Create proposal artifacts such as matrices, tables, graphs, summaries, and management approaches
4. Track Q&A’s, review and document changes, and communicate with the bid team
5. Ensure timely updates of past performance/resumes with relevant team members
6. Coordinate proposal kick-offs, reviews, and lessons learned meetings
7. Review draft content for flow, consistency, and compliance
8. Support desktop publishing to finalize proposals
9. Coordinate with graphic designers to create visually appealing bids
10. Provide quality control and suggest process improvements
11. Manage strategic library content and ensure standards and templates are followed
12. Use response libraries to address recurring content and develop tailored responses

Minimum Qualifications

• At least three years of experience in federal proposal or grant writing and coordination
• Bachelor’s degree or equivalent experience
• Advanced proficiency in Microsoft Office Suite, Adobe Acrobat, and SharePoint
• Strong editing and proofreading skills
• Exceptional organizational skills and ability to manage deadlines
• Ability to interpret RFx requirements
• Legal authorization to work in the U.S.

Desired Qualifications

• Experience managing proposals in healthcare markets (a plus)
• Experience with proposal volumes, editing, and leading reviews
• Knowledge of industry best practices and systems
• Strong research skills and technical translation abilities
• Understanding of federal contract types and procurement policies
