Job summary

AE2S is seeking a Proposal Coordinator to join our Proposals team in Maple Grove, MN. You will own proposals from start to finish, often juggling 2–4 active pursuits with 2–4 week turnarounds, coordinating across disciplines and ensuring compelling, well‑designed proposals.

You’ll work with technical staff, lead timelines, and ensure compliance while shaping pursuit strategy and storytelling to position AE2S for success.

Qualifications

• Bachelor’s degree in Communications, Marketing, Journalism, English, or related field.
• Proficient in Adobe InDesign, Illustrator, and Photoshop, plus MS Word, PowerPoint, Excel.
• Flexible, positive, and collaborative team player.
• Excellent communication, interpersonal, and organizational skills.
• Attention to detail with grammar, spelling, and proofreading.
• Basic understanding of design principles.
• Ability to multi-task and meet deadlines; overtime may be required.

Responsibilities

• Lead and manage the proposal process from kickoff through submission, meeting deadlines and compliance.
• Support Go/No-Go decisions with business leaders.
• Facilitate kickoff meetings and coordinate input from Proposal Managers, SMEs, and reviewers.
• Develop outlines, schedules, and milestone plans to keep proposal teams on track.
• Review RFPs/RFQs to ensure requirements are addressed and incorporated.
• Coordinate technical content, resumes, project descriptions, and supporting materials.
• Use Adobe Creative Suite to layout proposals and maintain brand standards.
• Collaborate with the team on pursuit strategy, differentiators, and positioning.
• Support interview preparation, including strategy and materials.
• Maintain proposal archives, CRM entries, and master resume files.
• Step in to support team during peak deadlines—team-first environment.

AE2S is seeking a Proposal Coordinator to join our growing Proposals team. This role is ideal for someone who has a passion for driving the proposal process, managing multiple deadlines, and crafting compelling, well‑designed proposals that help win meaningful engineering projects.

At AE2S, proposals are not just about formatting. They’re about storytelling, strategy, and collaboration. You’ll work across disciplines, partnering closely with technical staff, and play a key role in positioning AE2S for success.

As a Proposal Coordinator, you’ll own proposals from start to finish, typically juggling 2–4 active pursuits at a time with turnaround windows ranging from 2–4 weeks.

Responsibilities

• Lead and manage the proposal process from kickoff through submission, ensuring deadlines, quality standards, and compliance requirements are met
• Support and guide the Go/No‑Go process, assisting business leaders in making informed pursuit decisions
• Facilitate proposal kick‑off meetings and coordinate input from Proposal Managers, SMEs, and reviewers
• Develop outlines, schedules, and milestone plans to keep proposal teams on track
• Review RFPs/RFQs to ensure all requirements are addressed and incorporated
• Coordinate technical content, resumes, project descriptions, and supporting materials
• Use Adobe Creative Suite to layout proposals, create graphics, and maintain brand standards
• Collaborate with the team on pursuit strategy, differentiators, and positioning
• Support interview preparation, including interview strategy, presentations, and leave‑behind materials
• Help maintain proposal archives, CRM entries, and master resume files

Compensation And Total Rewards

The anticipated salary range for this position is:

• $59,400 - $72,600
• This salary range represents AE2S's good-faith estimate at the time of posting. Actual compensation will be determined based on factors such as experience, technical expertise, licensure, certifications, education, geographic location, internal equity, and business needs.

Basic Qualifications

Preferred Qualifications

• Proficient with CRM (Deltek, Vantage Point preferred).
• 2-5 years’ experience with proposals, ideally in an AEC firm.
• Strong interest in learning about the engineering industry.

Physical Requirements

• Primary functions require physical ability and sufficient mobility to work in an office setting
• Ability to stand or sit for prolonged periods of time
• Occasionally stoop, bend, kneel, crouch, reach, and twist
• Occasionally lift, carry, push, and pull light to moderate amounts of weight
• Operate office equipment requiring repetitive hand movement
• Fine coordination including the use of a computer keyboard
• May require lifting and carrying up to 20 pounds, with rare lifting of up to 50 pounds
• May require occasional evenings and weekends with overtime expectations varying with workload
• May be required to travel to off-site locations including occasional overnight stays out of town
