Job Summary

The Proposal Analyst is responsible for leading a deadline-driven proposal process, which includes gathering and organizing information in response to Requests for Information (RFIs) and Requests for Proposals (RFPs), as well as preparing Executive Summaries for prospective or renewal clients. The Proposal Analyst ensures all responses are current, well written, and accurately reflect key messages, products, and services. The role manages all aspects of the proposal process from receipt to completion and collaborates with various levels of management and subject matter experts (SMEs) within the company, including Region Presidents, Sales Executives, Client Managers, Underwriters, Sales Support, Operations, Legal, Managed Care teams, etc. Providing exceptional customer service by responding with complete, accurate, and timely RFP information is essential.

  • Manage the proposal process from initial kick-off meetings through to completion, serving as the main point of contact for internal and external stakeholders.
  • Prioritize and manage multiple RFPs/RFIs, ranging from simple to moderately complex, and assist with large, complex proposals as needed.
  • Respond to RFPs/RFIs across multiple lines of business, including In-Market ADM, Tribal, Out of Market, and Hospital/Health System/Direct to Employer.
  • Ensure adherence to the proposal process by creating responses using proposal management software, coordinating with SMEs and other team members to ensure timely and comprehensive responses.
  • Ensure responses are clear, concise, complete, accurate, and well written; gather appropriate exhibits to support responses and meet all deadlines professionally.
  • Update the Content Manager with new and revised responses for inclusion in the proposal database.
  • Establish and maintain effective relationships with the RFP team, Sales Executives, Region Presidents, Sales Support, and SMEs.
  • Maintain knowledge of existing and new products, services, networks, vendors, partners, and subcontractors.
  • Provide support to team members and internal stakeholders as needed.
  • Participate in training, tasks, projects, and other responsibilities as assigned.
Required Job Qualifications
  • Bachelor's degree in Business, Marketing, Communications, Journalism, or English, with 3 years of relevant experience working with RFPs/proposals.
  • Alternatively, 7 years of related experience in lieu of a Bachelor's degree.

  • Effective time management and organizational skills.
  • Ability to meet strict deadlines and handle multiple RFPs/RFIs simultaneously without compromising quality.
  • Strong collaborative and interpersonal skills to develop relationships at all levels.
  • Excellent verbal and written communication skills.
  • Attention to detail and focus on quality.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Document and file management skills using Microsoft Windows Explorer.
  • Minimal travel required, primarily for annual sales summits and other events.
Preferred Job Qualifications
  • Experience in insurance or third-party benefit administration environments.
  • Project and process management experience.
  • Experience with RFP/proposal software such as Qvidian or Responsive.
  • Salesforce experience.

Salary Range: $56,700.00 - $106,400.00
