The Properties Specialist provides hands-on support for the care, maintenance, organization, and overall readiness of a private residential estate. This position combines property maintenance, grounds support, exterior care, household assistance, and general estate operations to ensure the residence and surrounding property are consistently maintained to exceptional standards.
Working closely with Property Leadership, the PropertiesSpecialist will independently manage recurring responsibilities, conduct detailed inspections of the property, complete routine maintenance and upkeep, and identify items requiring additional attention. The individual in this role should be highly organized, observant, resourceful, and comfortable moving between indoor and outdoor responsibilities throughout the day.

What You'll Do:
Property Maintenance and Operations:
- Conduct thorough 360-degree walk-throughs of the residence, grounds, exterior structures, and operational spaces to identify maintenance needs, safety concerns, presentation issues, or developing problems.
- Proactively address routine maintenance and repair needs within the scope of the position and promptly communicate larger or specialized concerns to Property Leadership.
- Perform light handyman work, minor repairs, and general household maintenance and improvement requests throughout the residence and property.
- Inspect household appliances, fixtures, equipment, and other property systems for proper operation and report concerns as appropriate.
- Perform light landscaping and groundskeeping activities, including weeding, trimming, cleanup, blowing, and other routine property-detailing work.
- Maintain exterior living and service areas through routine cleaning, organization, and upkeep.
- Provide basic irrigation monitoring, troubleshooting, adjustments, and minor repairs within the scope of experience.
- Monitor exterior property features, lighting, outdoor furniture, recreational areas, and other amenities for maintenance or presentation needs.
- Assist with seasonal property preparation, cleanup, storm readiness, and other seasonal projects.
- Maintain tools, landscape equipment, maintenance equipment, garages, storage areas, and workspaces in clean, organized, and operational condition.
- Monitor maintenance supplies and communicate replenishment needs to Property Leadership.
- Maintain the residence and grounds in a consistently clean, organized, safe, and operationally ready condition.
Household, Vendor, and Team Support:
- Provide hands-on assistance with household projects, minor repairs, property improvements, and other requests delegated by Property Leadership.
- Partner with the housekeeping team and other household staff on projects requiring additional assistance, equipment, lifting, moving, or access to difficult-to-reach areas.
- Assist with moving furniture, equipment, supplies, and other household items as needed.
- Support event setup and breakdown, seasonal decorating, property preparation, and other household activities as requested.
- Assist with errands, deliveries, transportation-related needs, and other estate support responsibilities as assigned.
- Maintain awareness of scheduled vendor and service visits that impact daily property operations and help ensure applicable work areas are prepared.
- Provide access and on-property support to vendors and service providers as directed by Property Leadership.
- Observe completed vendor work when appropriate and communicate concerns, incomplete items, or follow-up needs to Property Leadership.
- Refer vendor scheduling, service requests, approvals, and relationship management to Property Leadership.
- Collaborate with Property Leadership, housekeeping, and other household team members to support seamless day-to-day estate operations.
Organization and Preventative Maintenance:
- Independently manage recurring property responsibilities using daily, weekly, monthly, and seasonal maintenance calendars, schedules, and checklists.
- Maintain awareness of scheduled property activities and recurring services, such as lawn care, irrigation service, seasonal maintenance, and other planned work.
- Prepare areas as needed in advance of scheduled service and communicate observations, completion concerns, or follow-up needs to Property Leadership.
- Maintain accurate maintenance records, inspection checklists, task lists, and other operational documentation.
- Routinely evaluate storage and work areas to ensure tools, equipment, and supplies are organized, maintained, and readily accessible.
- Anticipate upcoming property needs and adjust daily priorities while ensuring recurring responsibilities remain on schedule.
- Demonstrate strong follow-through by independently tracking assigned work through completion and communicating status, concerns, or emerging needs to Property Leadership.
- Identify opportunities to improve the organization, upkeep, and day-to-day functionality of the property and share recommendations with Property Leadership.
What You'll Bring:
- Previous experience in estate services, property maintenance, facilities, groundskeeping, hospitality, residential services, or a related hands-on role preferred.
- Working knowledge of basic household maintenance, minor repairs, grounds care, and irrigation systems.
- Exceptional organizational skills with the ability to independently manage recurring responsibilities, schedules, checklists, and preventative maintenance activities.
- Strong attention to detail with the ability to identify subtle maintenance, cleanliness, safety, or presentation concerns during routine property inspections.
- Self-motivated and comfortable working independently with limited day-to-day direction while keeping Property Leadership appropriately informed.
- Demonstrated ability to take ownership of recurring responsibilities and follow tasks through to completion.
- Ability to prioritize competing needs and shift between planned maintenance and unexpected property requests.
- Collaborative and service-oriented approach when working with Property Leadership, household staff, vendors, and other members of the estate team.
- Comfortable using computers, mobile devices, calendars, checklists, and property-management or operational tracking systems.
- Valid driver’s license required.

- Flexibility in scheduling is essential to meet seasonal and staffing requirements. This position will include weekend and holiday shifts in addition to regular shifts.

Essential Physical Demands:
- Required to wear appropriate employer-provided safety equipment in performance of job.
- Ability to lift forty (40) pounds to a maximum height of six (6) feet.
- Ability to stoop, bend, kneel, climb, and remain standing on feet for lengthy periods of time.
- Ability to safely operate small landscape maintenance machinery, e.g. backpack blower, hedge clippers, etc.
- Ability to work outdoors in all types of weather conditions.
