Job summary

JOB RESPONSIBILITIES

Position Title: Property Manager

Department: Property Management

Reports to: Director, Property Manager

Status: Exempt

Overview: The Property Manager is responsible for the management of commercial real estate in accordance with the Management Agreements. The Property Manager is involved in all aspects of day-to-day operations of the property, including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping, etc. The Property Manager handles tenant complaints and service requests and must be familiar with the terms of tenant leases. The Property Manager assists in preparing the annual budget, reporting, and financial performance of the property.

Responsibilities:
  • Serves as the primary representative to the tenants.
  • Develops and maintains good tenant relations and maintains positive relationships with all customers and vendors. Proactively responds to tenants' needs and requests
  • Uses sound financial measures to ensure that the budget and financial goals are met
    • Ensures customers are current in receivables and lease responsibilities
    • Performs and/or monitors collections and coordinates default proceedings
    • Contacts vendors and coordinates the completion of work when maintenance requests are received
    • Assists in preparing, reviewing, and implementing operating and capital budgets
    • Identifies budget variances and reports same to Director
    • Assists in establishing and administering estimated/actual recoveries
    • Maintains a thorough, working knowledge of lease provisions
    • Identifies maintenance provisions as required by lease agreements
    • Manages insurance requirements and any subsequent claims for properties and reports same to Director
  • Assists in identifying opportunities for increasing revenue potential, including proposing and justifying capital improvements to enhance the asset’s value, optimize return on investment, and promote long-term financial growth for portfolios.
  • Assists in developing a comprehensive capital improvement schedule for each property and ultimately assists in implementing those authorized
  • Supports Leasing Agents in achieving occupancy goals by offering superior customer service and relationship management to achieve high renewal ratios by ensuring vacancies/marketable spaces are up to River Oaks standards.
  • Follows established Company and legal requirements related to the default proceedings and eviction process.
  • Enforces all policies and procedures. Maintains compliance by ensuring all property records are maintained in accordance with all local, state, federal codes and Company standards.
    • Manage environmental requirements
    • Manages customer move-ins and move-outs process.
  • Manages the investigation of all complaints, disturbances, and violations and resolves issues.
  • Conducts weekly site inspections to ensure that the physical aspects of the properties meet established standards regarding the grounds, curb appeal, risk management/safety requirements, cleanliness, and general appearance, and implements corrective measures as necessary and follow-up to completion.
  • Creates property inspection reports weekly and submits to Director
  • Conducts night inspections once a month to ensure centers are well lit and tenant storefront signs are working properly. Reports to completion.
  • In conjunction with other departments, plan, schedule, and coordinate general maintenance, major repairs, and capital improvement projects.
    • Participate in punch list walk-throughs for new construction and TI
    • Follow up on punch list items to completion
    • Coordinate make-readies as the lease may require
  • Monitor all service requests and work orders for timely completion
  • Other duties as assigned by management
Essential Skills, Abilities and Experience:
  • Minimum three years of property management experience required in industrial/commercial real estate
  • Excellent internal and external customer service skills with strong diplomacy and crisis diffusion skills
  • Must maintain a professional demeanor
  • Must be able to multi-task; prioritize and work with minimal supervision, have strong attention to detail and excellent time management skills to ensure all established deadlines are met
  • Excellent oral and written communication skills.
  • Skilled in the use of the internet, spreadsheets, relational databases, and word processing software. Ability to process computer data and to format and generate reports. Ability to create, compose, and edit written materials
  • Proficient working knowledge of Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook)
  • Yardi software experience
  • Strong mathematical, analytical, and reasoning skills
  • Well-developed interpersonal skills
  • As business dictates, able to work extended/flexible hours (e.g., nights/weekends/on-call)
  • Frequent walking, occasional climbing, light lifting, frequent work in outdoor weather conditions

NOTE: This position requires a clear and valid driver's license and the ability to travel to multiple properties using a personal vehicle
