Job Overview
We are seeking a results-driven Remote Leasing/Property Manager based in Edmonton, Canada, to oversee a portfolio of 90 residential units (expected to grow to 150 units in 2026). The role focuses on coordinating leasing activities, ensuring timely rent collection, securing lease renewals, and maintaining tenant satisfaction while working remotely. Success will be measured by key performance indicators (KPIs) such as occupancy rates, rent collection, tenant retention, and maintenance coordination. Strong English communication skills and experience managing and leasing properties in North America are essential.
Key Responsibilities
Leasing Coordination
Coordinate with on-site staff to schedule property tours and tenant screenings, achieving a minimum 90% lease conversion rate from qualified leads to signed leases.
Market properties on Facebook and Rentfaster, generating a minimum of 50 qualified leads per month for the portfolio.
Ensure leasing processes comply with Canadian fair housing laws and company policies, achieving 100% compliance.
Secure lease agreements within 5 business days of tenant application approval.
Tenant Relations and Retention
Maintain a tenant satisfaction score of 4.5/5 or higher based on quarterly surveys.
Achieve a tenant retention rate of 85% or higher for lease renewals annually.
Respond to tenant inquiries and complaints within 24 hours, with full resolution of non-emergency issues within 72 hours.
Coordinate and secure lease renewals, ensuring 100% of renewals are signed at least 30 days before lease expiration.
Rent Collection and Follow-Up
Ensure 98% of rent payments are collected on time each month across the portfolio.
Follow up on delinquent accounts within 24 hours of missed payments, escalating as needed per company policy.
Maintain accurate rent collection records in Buildium, ensuring 95% data accuracy in the system.
Property Management and Maintenance Coordination
Coordinate with on-site staff and vendors to address maintenance requests, ensuring 95% of urgent requests are resolved within 48 hours and non-urgent requests within 5 business days.
Oversee virtual property inspections quarterly, ensuring 100% of inspections are completed on schedule with reports submitted in Buildium within 48 hours.
Ensure portfolio compliance with local, provincial, and federal regulations in Edmonton, achieving zero compliance violations during audits.
Reporting and System Management
Optimize property listings on Facebook and Rentfaster to achieve a 10% month-over-month increase in listing views.
Submit weekly performance reports via Buildium, covering leasing activity, occupancy, rent collection, and maintenance updates, with 100% on-time submission.
Maintain tenant and property data in Buildium, ensuring 95% data accuracy.
Performance Metrics (KPIs)
Occupancy Rate: Maintain 95% or higher occupancy across the 90-unit portfolio (scaling to 150 units in 2026).
Lease Conversion Rate: Convert 90% of qualified leads into signed leases.
Tenant Retention Rate: Achieve 85% lease renewals annually.
Rent Collection Rate: Collect 98% of rents on time monthly.
Maintenance Resolution Time: Resolve 95% of urgent maintenance requests within 48 hours.
Tenant Satisfaction: Maintain a 4.5/5 average rating on tenant satisfaction surveys.
Compliance: Ensure zero violations in regulatory audits.
Qualifications
Experience: Minimum of 2 years managing and leasing residential properties in North America, with a proven track record of meeting performance targets.
Skills:
Strong English communication skills (written and verbal) for tenant and vendor interactions.
Proficiency in Buildium property management software.
Excellent organizational and coordination skills to manage a 90-unit portfolio remotely (scaling to 150 units).
Education: High school diploma required; bachelor’s degree in business, real estate, or related field preferred but not required.
Certifications: No real estate license or property management certification required.
Technical Requirements: Reliable high-speed internet, a dedicated home office setup, and proficiency with video conferencing tools (e.g., Zoom, Microsoft Teams).
Compensation and Bonuses
Competitive base salary commensurate with experience.
Performance-based bonuses tied to achieving or exceeding KPIs (e.g., occupancy, rent collection, tenant retention), to be determined based on quarterly performance reviews.
Work Environment
Fully remote position based in Edmonton, Canada, requiring availability from 8 AM to 4 PM Alberta time (Mountain Time), Monday through Friday, with flexibility for urgent tenant or vendor communications outside these hours.
Must provide own equipment (computer, headset, etc.) and maintain a professional remote workspace.
Regular virtual meetings with team and leadership via video conferencing.
