Job Description Summary

Performs the administrative functions of the Property Management Team, ensuring a high level of professionalism in property issues, including timely response to and resolution of tenant requests or concerns.

Job Title

Property Administrator

Responsibilities
  • Provide full administrative support, including phone support, typing reports, filing, and distributing correspondence.
  • Schedule and coordinate meetings and events.
  • Assist in lease administration, tenant contacts, insurance information, and report generation.
  • Prepare and coordinate bid proposals, service contracts, and invoices; assist in bidding and ensure compliance with policies.
  • Prepare and code invoices for approval.
  • Maintain office supplies and ensure office readiness.
  • Manage contract and insurance certificate data entry and follow-up on expirations.
  • Monitor and report on tenant work orders and maintain the property maintenance system.
  • Maintain lease, contract, and other files.
  • Foster positive tenant and client relationships and track service calls.
  • Assist with management reports and budget preparations.
  • Process staff hours, tenant invoices, expense reports, meter readings, and check requests.
