We’re looking for a Properties and Facilities Coordinator to join our team.
In this role, you will have the opportunity to support a variety of properties and facilities needs for more than 450 Wireless Vision retail locations across the country.
Reporting to the Properties and Facilities Manager, you will work with a team responsible for managing maintenance work orders, evaluating quotes for services, reviewing leases, partnering with landlords, and maintaining building systems for multiple retail locations and our corporate headquarters. You will play a vital role in supporting our properties, ensuring efficient facility operations, and supporting day-to-day activities. Your contributions will help create a safe, functional, and thriving environment for our employees and customers.
Your responsibilities in this role include (but are not limited to):
- Providing work order direction to a third-party facilities management company, including scope of work approval, scheduling, and change orders.
- Understanding and management of CMMS software – managing work orders, data entry, invoice review & processing, and follow-up.
- Having a keen eye for detail, ensuring that every aspect of property/facilities management meets the highest standards.
- Providing prompt customer service to store manager and district managers for work order updates and follow ups.
- Working seamlessly with internal teams, vendors, and property managers/landlords, building positive relationships and fostering teamwork.
- Providing support and response during emergency situations.
- Working within budgets, monitoring expenses, auditing invoices, and reporting on financial performance.
- Organizing, contributing to, and maintaining files, databases, and materials, including but not limited to leases, SOPs, procurement, RFPs, bids, contracts, emergency preparedness plans, and daily processes.
- Self-starter with ability to set goals and tasks with strong leadership skills.
- Assisting the Properties and Facilities Manager in all aspects of project implementation as needed.
- Anticipating problems before they arise and taking the initiative to address issues swiftly.
- Managing multiple tasks efficiently, prioritizing effectively, and keeping detailed records.
- Providing occasional after-hours support.
- Remaining calm under pressure and adjusting quickly in a dynamic work environment.
- Handling responsibilities with honesty, accountability, and a commitment to quality service.
Your Experience:
We value practical experience and expertise in the field of property and facilities management. Ideally, you have:
- At least one year in facilities maintenance or a related field
- High School Diploma/GED required
- Familiarity with building systems, maintenance protocols, and vendor management. Knowledge of commercial HVAC, electrical, plumbing, fixturing, doors/storefront and building trades preferred.
- Be able to contribute to large-scale projects, handling both short-term and long-term tasks simultaneously while managing deadlines.
- A track record of troubleshooting and resolving operational challenges effectively.
- Proficiency with property management software, Microsoft Office Suite, and digital communication tools. The ability to convey complex information in a straightforward, approachable manner.
