Job description

Job Description: The Promotions & Sales Coordinator supports the Badger Mission and Principles by being a key member of the Sales Team and assisting the Sales Team managers. The Promotions & Sales Coordinator works closely with the National Sales Manager on promotional planning, executions, and tracking and owns all domestic wholesale admin functions for the Customer Service and Sales team.

Essential Responsibilities

• Sales Programs -Domestic accounts only
  • Onboards all new key accounts
  • Create product grids for sales sets
  • Review sales sets, as necessary, for accuracy
  • Coordinate sales programs as needed
• Sales Administration
  • Oversees and is accountable for all Sales Admin functions for domestic accounts
  • Submit and manage all account specific Sales requests in Wrike in coordination with Sales Managers, follow up on deadlines, and coordinate on‑time completion
  • Coordinate with Sales Operations Manager and Director of Sales to maintain and communicate product changes, pricing changes or discrepancies, terms, and special allowances, as necessary
  • Ensure the Customer Service and Sales Teams have all needed materials and information
  • Maintain all Key Account specific product listings and order forms
  • Maintain and update contracts and account details in SYSPRO
• Maintain Category Review calendar and coordinate timely Key Account item review
• Coordinate Key Account Administrative tasks for the following.
  • Category Review Forms
  • New Item Forms
  • Product Change Forms
  • Price Change Forms
  • Certificates of Insurance
  • Product launch, product change, and price change tracker
• Coordinate Rep Account Administrative tasks for the following.
  • Maintain and update rep contact information in SYSPRO and Excel Active Rep Listing
  • Determine new rep samples and create welcome plan with National Sales Manager
  • Run and prepare rep commissions monthly/send monthly reports to reps
• Coordinate online account audits for necessary updates
• Update and maintain all ordering and data portals for sales department. This includes Supplier Genius, OrderDog, IX-ONE, ECRS, 1 World Sync, etc.
• Coordinate and perform account level E-Commerce administration for product launches, product changes, price changes, and general maintenance
• Set up and maintain items on Walmart (update images, pricing, copy, etc.)
• Set up and maintain items on Faire (update images, pricing, copy, etc.)
• Update pricing on ExpertVoice Amazon
• Coordinate document submissions for potential product removals/regulatory issues
• Submit new items to agency Promotions In coordination with Sales Managers
• Attend promotional planning meetings with key accounts and rep groups
• Maintain calendar and spreadsheet to track all promotions
• Update monthly SYSPRO trade promotions, contract pricing and web promotions
• Maintain CS promo list
• Review all key account promotions for accuracy
• Generate and track promotional accruals, monthly
• Work with accounting to track and approve promotional deductions
• Investigate pricing and promotional issues on orders
• Manage and set up promotions on Faire to match INDY calendar plus Faire Market Promotions
• Other Responsibilities
  • Back-up phone & order assistance for Customer Service, as needed
  • Attend sales trips and virtual meetings, as needed
  • Attend trade shows as scheduled by Director of Sales

Pay range $22.00 - $27.00 an hour; salary is commensurate to experience.

Education & Experience Required

• 3-4 years of experience in sales administration, customer service, or account coordination
• High school diploma or equivalent required
• Experience managing relationships with outside accounts and sales reps, including day‑to‑day communication, resolving issues as they come up, and following through so people stay informed.
• Track record of maintaining and keeping order in business administration systems (such as SYSPRO, Wrike, or similar order, project, or CRM platforms), with the ability to learn new systems quickly.
• Some project management experience preferred, such as tracking deadlines, coordinating with multiple people, and seeing tasks through to completion.
• Must demonstrate a high level of understanding of the company's products and be able to communicate the value of these products.
• Knowledge, experience and appreciation of natural healing products is essential to success in this position.

• Must be proficient in all MS Office applications and have comfort level maintaining databases and creating informative reports.
• Position requires ability to communicate effectively with a broad range of people, in writing and speech, along with strong interpersonal skills.
