Job summary

Doka USA is seeking a Project & Billing Coordinator to support the branch with contract administration, project setup, billing, and related documentation. You will work closely with Sales, Operations, and Finance to ensure accurate establishment, billing, documentation, and project closeout.

Qualifications

• Minimum high school diploma; bachelor’s preferred in Business or Logistics.
• 2–5 years in administration, operations, or logistics preferred.
• Experience with inventory control and procurement planning is a plus.
• Strong English communication, numeric aptitude, and problem solving.
• Advanced Excel skills and solid report writing abilities.

Responsibilities

• Manage branch contracts from proposal through execution and closeout.
• Verify executed contracts are on file before materials are released.
• Set up and maintain customer, project, jobsite, contract, and billing data in DISCOs II.
• Prepare customer invoices and verify accuracy against contracts and bills of lading.
• Collaborate with Sales to prepare change orders when scope changes occur.
• Review credit requests against contract terms and route for approval.
• Process certificates of insurance and file preliminary notices in the CRM.
• Close projects in DISCOs II and resolve contract/billing discrepancies.
