Project Staff Associate

Required Qualifications (as evidenced by an attached resume):
  • Bachelor’s degree (foreign equivalent or higher).
  • Three (3) years of full-time administrative experience, including experience working with grants administration and related budgets.
  • Staff supervision experience.
Preferred Qualifications:
  • One (1) year of full-time grants administration experience.
  • Experience with coordinating meetings and maintaining meeting minutes.
  • Prior experience with clinical research programs including submission of IRB applications, data transfer agreements and oversight of human subjects’ research.
Brief Description of Duties:

The incumbent will be responsible for providing project management of studies in the Division of Cognitive and Sensory Motor Aging in the Department of Neurology. This will include developing research infrastructure, promoting clinical research, participating in clinical research training and education, and helping faculty in securing federal funding for research projects. These activities will include supporting research activities of faculty and other members of the Department of Neurology and collaborators at SBU. This position involves ensuring institutional and investigator compliance with institutional policies and procedures as well as federal and state law and regulations. Monitor progress, milestones, deliverables, and expenditures across the PIs research grants and supervise research staff.

Oversee coordination of research projects including supervision of staff, data management, and IRB submissions. Track NIH and other grant milestones, deliverables, timelines, expenditures, and reporting requirements.

Develop research infrastructure, promote clinical research, participate in clinical research training and education, and help faculty in efforts to secure federal funding for research projects. Coordination of data/material transfers, subawards, and collaborator communications where applicable.

Determine staffing needs to ensure efficient and appropriate coverage and recommend appropriate changes to staffing patterns as needed. Manage staff performance and evaluate the quality of work by providing timely and corrective feedback as needed. Hold regular meetings remotely and on site with research staff and report to investigators.

Assist PIs with preparation of grant proposals (new and competing renewals). Assisting the faculty in the Department of Neurology and other research groups the PI is involved with gathering the required documents and data needed to prepare grant applications. Secure related supporting letters and attachments required for grants and contracts. Confirm that the appropriate resources are available, which are needed by the PI.

Ensuring institutional and investigator compliance with institutional policies and procedures as well as federal and state law and regulations. Responsibility includes IRB documentation, consent form preparation, and assisting in developing data use agreements.

Partner with departmental IT resources in the development of databases; data coding manuals and data entry guidelines. Train staff and interns to collect and enter data appropriately.
