Position Summary

This role involves overseeing program project coordinators and supporting Energy Advisors and Engineers to ensure accurate information, maintained files, and effective communication with business contacts. It also includes managing customer grant processes, alerting staff to expiring grants, and assisting customers with applications.

Essential Duties and Responsibilities
  • Coordinate with Energy Advisors to organize files, paperwork, and data entry, and communicate with business contacts.
  • Maintain and update the program database for project approvals and payments, including client and trade ally contact.
  • Assist customers by providing program information, incentives, and processing paperwork and applications.
  • Update and maintain project tracking databases like SharePoint.
  • Collaborate with program staff to improve workflows.
  • Support office management tasks, including equipment maintenance and supplies procurement.
  • Ensure contract and subcontract compliance, including invoice and report tracking.
  • Coordinate quality assurance and control of project documentation.
  • Assist trade allies and customers with information and marketing materials for incentives.
  • Track team performance metrics and goals monthly and quarterly.
  • Provide customer service support, scheduling, and administrative assistance as needed.
Position Requirements
Education and Experience
  • High school diploma or equivalent required.
  • Associate Degree or higher preferred.
  • At least 3 years of office experience.
Skills, Knowledge, and Abilities
  • Strong customer service and communication skills.
  • Ability to handle diverse tasks in a fast-paced environment.
  • High interpersonal skills for sensitive and confidential matters.
  • Organized, detail-oriented, self-motivated, with prioritization skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong data entry and database management skills.
  • Effective verbal and written communication abilities.
  • Analytical skills for data interpretation and problem-solving.
  • Knowledge of mathematical concepts like fractions, percentages, ratios.

Licenses & Certifications
  • Valid driver’s license required.
Travel Requirements
  • Willingness to travel up to 10%.
Physical Demands and Work Environment
  • Remote work based in Central California.
