Job description

Position Summary

This position is primarily responsible for providing oversight and coordination for all program project coordinators and support to Energy Advisors and Energy Engineers. Responsibilities include ensuring information accuracy, maintaining files, continuous review, and maintaining communication with business contacts. Additionally, the role involves managing customer grant processing, informing Energy Advisors of expiring grants and applications, and assisting customers.

Essential Duties and Responsibilities
  • Coordinate with Energy Advisors to organize files, paperwork, and data entry, and communicate with business contacts.
  • Maintain, update, and add entries to the program database to facilitate project approvals and payments, including contacting clients and trade allies.
  • Answer phones and assist customers with program participation, incentives, and paperwork.
  • Help maintain and update program support databases related to project tracking and assignments.
  • Work with program staff to improve workflows.
  • Provide office management support, including follow-up on technical issues and maintaining supplies.
  • Monitor activity to ensure contract and subcontract compliance, including tracking invoices and report submissions.
  • Coordinate with management to oversee quality assurance and control of project documentation.
  • Assist trade allies and customers with information and marketing materials for energy efficiency incentives.
  • Track team performance and goals monthly and quarterly.
  • Support customer service, scheduling, and other administrative tasks as needed.
  • Transcribe data and prepare correspondence and memoranda.
  • Answer and direct incoming calls appropriately.
  • Provide general administrative support to program staff.
Position Requirements

Education and Experience

  • High school diploma or equivalent required.
  • Associate Degree or equivalent preferred.
  • Minimum of 3+ years of office experience.
Skills, Knowledge, and Abilities
  • Excellent customer service and communication skills.
  • Ability to handle diverse tasks in a fast-paced environment.
  • High interpersonal skills for handling sensitive and confidential information.
  • Organized, detail-oriented, self-motivated, with good prioritization skills.
  • Ability to resolve project application issues effectively.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong data entry skills.
  • Effective verbal and written communication skills.
  • Analytical skills for interpreting data and solving problems.
  • Knowledge of mathematical concepts like fractions, percentages, and ratios.

  • Reliable transportation.
Licenses & Certifications
  • Valid driver's license required.
Travel Requirements
  • Willingness to travel up to 10%.
Physical Demands and Work Environment
  • Remote position based out of Central California.
  • Requires sitting, standing, walking, talking, hearing, and handling tools or controls.
  • Ability to lift up to 10 pounds.
  • Moderate noise level; potential exposure to fumes or airborne particles; risk of shock.
