Overview

The Project Scheduler is responsible for developing, maintaining, analyzing, and managing project schedules throughout all phases of assigned projects. This person serves as the primary scheduling resource for small-to-medium projects or defined scopes within larger projects and may also support proposal and bid schedules. The role develops schedules ranging from high-level milestones through detailed working schedules using input from project teams, subcontractors, and other stakeholders. The Project Scheduler identifies schedule issues and risks, analyzes project performance, recommends mitigation or recovery actions, and works closely with Project Management, Engineering, Procurement, Construction, Commissioning, Finance, Operations, Supply Chain, Pre-Construction, and Project Controls to support successful project execution.

Responsibilities
  • Project Leadership, Team Integration, and Project Setup: Serves as the primary scheduling resource and an active member of assigned project teams, providing timely, objective schedule information that supports execution decisions. Works with Project Management, Engineering, Operations, Supply Chain, Pre-Construction, Finance, subcontractors, and Project Controls personnel to translate scope and execution strategy into an integrated project schedule. Leads scheduling setup and mobilization, including schedule architecture, work breakdown structures, calendars, coding, responsibility assignments, update cadence, and contractual scheduling requirements. Reviews relevant proposal and contract requirements and incorporates schedule obligations, milestones, constraints, and deliverables into the planning approach. Independently identifies emerging schedule issues, evaluates root causes, develops mitigation or recovery recommendations, and escalates material risks or decisions to project leadership and the Project Controls Director.
  • Schedule Management: Develops, baselines, maintains, updates, and analyzes network-logic-driven project schedules from proposal and milestone-level plans through detailed execution schedules. Serves as the primary Primavera P6 subject matter expert for assigned projects, responsible for the configuration, administration, maintenance, quality assurance, and integrity of project schedules and related schedule data. Develops integrated Level III schedules and, where required, detailed Level IV working schedules incorporating engineering, procurement, fabrication, construction, commissioning, subcontractor, and client activities. Leads schedule status collection and validation and updates actual progress, remaining durations, logic, constraints, milestones, resources, quantities, and forecast completion dates within Primavera P6. Performs schedule quality reviews and health assessments using Primavera P6 and other schedule analytics tools to identify logic deficiencies, constraints, float suppression, progress anomalies, and schedule risks. Performs critical path, near-critical path, float, variance, milestone, resource, productivity, and trend analysis to identify threats and opportunities. Develops look-ahead schedules, schedule narratives, manpower histograms, progress curves, key quantity curves, and other schedule views needed to manage execution. Facilitates or leads schedule review meetings and communicates schedule status, key drivers, constraints, and required actions to project stakeholders. Develops mitigation, recovery, acceleration, and what-if scenarios and monitors action plans through resolution. Supports schedule risk analysis, time impact analysis, delay analysis, and claims evaluations through development of detailed schedule models and supporting documentation. Ensures schedules satisfy enterprise, contractual, and project requirements and remain reliable tools for project decision-making. Provides guidance and training to project teams on scheduling best practices, Primavera P6 usage, schedule governance requirements, and enterprise scheduling standards.
  • Cost Management, Financial Performance, and Forecasting: Integrates schedule logic, progress, resources, quantities, and time-phased information with project cost, cash flow, and forecasting processes. Provides schedule-based dates, phasing, resource requirements, and performance information to support Estimate-at-Completion development and reforecasting. Analyzes schedule trends and forecast completion dates to identify potential cost, productivity, cash flow, and margin impacts. Works with Project Controls, Project Management, Finance, and Operations to reconcile schedule assumptions with cost and financial forecasts. Supports earned value and other integrated cost-schedule performance measurement as required.
  • Risk Management: Facilitates identification, assessment, documentation, and monitoring of schedule risks and opportunities and their potential cost and execution impacts. Performs or supports schedule risk analysis and provides schedule information for contingency and risk management decisions. Maintains schedule-related risk information and monitors mitigation, contingency, and recovery actions. Communicates material changes in schedule exposure to project leadership and the Project Controls Director.
  • Change Management: Administers the schedule component of the project change management process, ensuring scope changes, trends, claims, and potential impacts are identified, evaluated, documented, and incorporated into the schedule. Develops schedule impact analyses and time-related documentation for changes, delays, prolongation, acceleration, and recovery actions. Maintains traceable schedule records, baselines, updates, narratives, and supporting documentation needed to substantiate project positions. Coordinates with Project Controls and commercial stakeholders so approved changes are reflected consistently in cost, schedule, and forecast information.
  • Energy Management: Incorporates energy production, savings, commissioning, performance verification, and related contractual milestones into applicable project schedules. Works with technical and project leaders to identify schedule risks or variances that could affect energy performance commitments and supports corrective actions.
  • Planning & Project Setup: Leads schedule development during proposals, project planning, and startup, including development of milestone, bid, baseline, and detailed execution schedules. Facilitates planning sessions and converts execution strategy, constructability input, estimates, resource assumptions, and stakeholder commitments into an integrated schedule. Develops schedule work breakdown structures, coding, calendars, logic standards, update procedures, progress rules, and reporting requirements. Supports constructability planning, feasibility studies, project execution planning, and close-out reporting.
  • Interface with Operational Finance: Provides time-phased schedule, progress, resource, and completion information to support revenue recognition, margin, billing, cash, reforecasting, accruals, and month-end alignment. Investigates differences between schedule performance, project forecasts, operational expectations, and financial reporting and supports timely resolution. Provides the Project Controls Director and project leadership with clear information regarding schedule-driven financial trends, risks, and opportunities.
  • Reporting & Performance Analytics: Develops, analyzes, and presents accurate schedule reports, dashboards, KPIs, progress curves, resource histograms, milestone reports, critical path analyses, and management narratives. Performs schedule quality and health reviews and identifies logic, constraint, float, progress, and data-quality issues requiring correction. Prepares schedule information for weekly, monthly, quarterly, client, and internal project reviews. Ensures schedule reporting is traceable to source data and aligned with established definitions, standards, contractual requirements, and cadence.
  • Team Leadership, Culture and Talent Development: Provides technical scheduling guidance, coaching, and mentoring to Project Controls associates, specialists, project team members, and other schedulers as assigned. Provides guidance and training to project teams on Primavera P6 functionality, schedule management processes, and enterprise scheduling requirements. May coordinate day-to-day scheduling inputs and quality reviews without assuming formal manager accountability. Demonstrates an ownership-driven approach by challenging assumptions, proactively identifying issues, and contributing directly to project outcomes. Shares scheduling knowledge, lessons learned, and proven practices across the Project Controls community.
  • Standards, Tools, and Continuous Improvement: Applies and champions enterprise planning and scheduling standards, procedures, tools, systems, and methodologies on assigned projects. Serves as the Primavera P6 subject matter expert for assigned projects, responsible for schedule structure, coding, calendars, configurations, governance, data integrity, and adherence to enterprise scheduling standards. Maintains schedule data quality and process compliance, addresses gaps within assigned responsibilities, and recommends broader improvements to the Project Controls Director. Utilizes Primavera P6 and applicable schedule analytics and quality tools to perform schedule health assessments, evaluate schedule logic, identify float suppression, constraints, progress anomalies, and other factors that may impact schedule reliability and decision-making. Develops and maintains schedule templates, coding structures, reporting standards, dashboards, and best practices that promote consistency, transparency, and efficiency across projects. Supports continuous improvement through technology, automation, analytics, lessons learned, and proven scheduling practices. Evaluates emerging planning and scheduling technologies, tools, and methodologies and recommends practical improvements to scheduling processes and project controls effectiveness.
