Job summary

Aston Carter is seeking an Operations Coordinator for an onsite, full-time role in Joliet, IL. You will blend office duties with production floor responsibilities, working 8:00 a.m.

– 4:30 p.m., Monday to Friday, and coordinating schedules, materials, and shipments to meet production goals. The role requires 3+ years in operations coordination, strong Excel skills, ERP experience, and excellent communication.

Qualifications

  • 3+ years of operations coordination experience in a production/manufacturing environment.
  • Advanced Excel skills including pivot tables, VLOOKUP/HLOOKUP, INDEX-MATCH, COUNTIFS, and VBA/macros.
  • Ability to work with financial data and numerical information.
  • Strong interpersonal and communication skills with internal teams, customers, and vendors.
  • Experience with ERP systems in production/operations context.
  • Demonstrated ability to manage multiple tasks and coordinate schedules in a fast-paced setting.
  • Comfort working with both office functions and production floor operations.

Responsibilities

  • Manage job setup by verifying material availability and coordinating with project managers for production readiness.
  • Review and distribute production, shipment, and work schedules; coordinate with supervisors on priorities and completion dates.
  • Coordinate job-closing with project managers and ensure data accuracy with Quality Control.
  • Prepare subcontractor packing slips for accurate documentation and tracking of shipments.
  • Monitor daily production labor; audit hours and maintain data accuracy for labor records.
  • Update and distribute Production Action Item sheet before weekly meetings for informed decisions.
  • Coordinate truck deliveries and provide real-time status updates to the project team.
  • Support diverse projects from initiation to completion, meeting milestones and quality standards.
  • Perform quarterly/annual inventory cycle counts to improve system data accuracy.
  • Provide sales support via information requests and meeting coordination.
  • Work with outside sales to develop lead tracking and calendaring systems.
  • Track completion, inspection, shipment, and closure of products and jobs in the system.
  • Interacts with customers to provide timely, accurate data for successful outcomes.
  • Coordinate with internal teams to resolve issues and align production/shipping activities.
  • Ensure existing contract orders are accurately updated in the system.
  • Maintain customer inventory agreements aligned with requirements.
  • Collaborate with customer service, quality, operations, and engineering for problem solving.

Responsibilities
  • Manage job setup by verifying material availability and coordinating with project managers to ensure job accuracy and readiness for production.
  • Review and distribute production, shipment, and work schedules, and confer with department supervisors to determine work progress, priorities, and completion dates.
  • Coordinate with project managers on the job-closing process and collaborate with Quality Control to ensure all data entries are accurate, complete, and properly documented.
  • Prepare subcontractor packing slips to ensure precise documentation and tracking of all outgoing shipments.
  • Monitor daily production labor, audit reported hours in the system, and maintain high levels of data accuracy for labor and production records.
  • Update and distribute the Production Action Item sheet prior to weekly meetings to support informed decision-making and timely follow-up.
  • Coordinate truck deliveries as requested and provide consistent, real-time status updates to the project team.
  • Support diverse projects from initiation through completion, ensuring all milestones, timelines, and quality standards are met.
  • Perform quarterly and annual inventory cycle counts for materials and finished goods to ensure and improve system data accuracy.
  • Provide sales support by responding to information requests and facilitating communication through websites, emails, and meeting coordination.
  • Work with outside sales on an ongoing basis to develop and maintain a sales, lead tracking, and calendaring system.
  • Review, coordinate, and track the completion, inspection, shipment, delivery, acceptance, and closure of products and jobs within the system.
  • Interact with customers to process information and provide them with timely and accurate data to support successful outcomes.
  • Confer with internal personnel, customers, and vendors to coordinate production and shipment activities, eliminate delays, and resolve issues or complaints.
  • Ensure existing contract orders are updated and administered accurately in the system.
  • Administer and maintain customer inventory agreements, ensuring alignment with operational and customer requirements.
  • Work closely with internal teams, including customer service, quality, operations, and engineering, to solve problems and respond promptly to customer requests and questions.
  • Act as a liaison between project managers, production teams, and executive leadership, including leaders, to support strategic and operational alignment.
  • Participate actively in a lean, cross-functional organization by collaborating across multiple departments to support continuous improvement and operational efficiency.
  • Perform other duties as assigned to support production, sales, and customer service needs.

This is a Permanent position based out of Joliet, IL.

Pay And Benefits

The pay range for this position is $30.00 - $32.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
