Job summary

Populous is seeking a Project Planning Coordinator to join our global design team. You will support Project Managers on large projects, using Deltek Vantagepoint to craft and adjust project plans, track proposals, invoices and budgets, and generate financial reports.

Ideal candidates have a background in AEC, strong communication, and the ability to work in a fast-paced, collaborative environment with travel and OT as needed.

Qualifications

• Bachelor’s degree in Business Administration, Accounting, Project Management, or related discipline.
• 3+ years experience in a similar role.
• Experience in the AEC industry.
• Willing to travel.
• Overtime may be necessary.
• Proficient in MS Office (Word, Excel, PowerPoint).
• Deltek Vantagepoint experience is desirable.
• Experience with Power BI is preferred.

Responsibilities

• Assist the Project Manager in crafting project plans using Deltek Vantagepoint.
• Oversee and adjust project plans as issues arise.
• Contribute to project proposals using project plan data.
• Track proposal approvals and update project plans.
• Collaborate with Project Accountant to manage invoice submission and tracking.
• Monitor project expenses in Vantagepoint and flag budget variances.
• Prepare and distribute project financial reports for PMs and Principals.

Who We Are Looking For:

The Project Planning Coordinator will be an important part of the team, working with Project Managers on large projects. Our preferred candidate will have prior experience in the AEC industry, and an interest in working in a dynamic global design environment with a diverse range of public assembly building types, including sports venues, convention centers, and transportation facilities.

What Your Day Could Consist Of:

• Assisting the Project Manager in crafting project plans utilizing Deltek Vantagepoint.
• Oversight and adjustment of project plans as needed in response to any issues.
• Contributing to the formulation of project proposals by utilizing project plan data.
• Keeping track of proposal approvals and updating the project plan accordingly.
• Close collaboration with the Project Accountant and Project Manager to manage invoice submission and tracking.
• Monitoring project expenses within Vantagepoint and identify any disparities compared to the planned budget.
• Compilation and distribution of project financial reports for Project Manager and Principals.

Requirements For Success:

• Strong written and verbal communication abilities.
• Highly self-motivated, with the ability to excel in fast-paced, deadline-driven environments.
• Ability to work effectively both independently and within a collaborative team.
• Proficient in MS Office applications such as Word, Excel, and PowerPoint.
• Proficiency in Deltek Vantagepoint is highly desirable.
• Experience with Power BI is preferred.
• Exceptional attention to detail and accuracy.
• Demonstrated organizational and multitasking abilities.

Essential Qualifications:
