Job summary

SB CLINICAL PRACTICE MANAGEMENT PLAN INC in Setauket, NY seeks a Project Manager for the Facilities Planning Department. Full-time, 40 hours per week, on-site at 188 Belle Mead Road East Setauket.

You will provide project planning and implementation services, working with the Associate Director for Facilities Planning, coordinating multiple projects across Long Island. The ideal candidate has an associate degree in healthcare or related field and at least 3 years' hospital facilities planning

Qualifications

  • Associate's degree in healthcare or related field.
  • 3 years of relevant hospital facilities planning or project management experience; or 5 years without degree.
  • Knowledge of NYSDOH, FGI, CMS, JCAHO and related regulatory processes.
  • Strong analytical, organizational, and written/oral communication skills.
  • Proficiency with Microsoft Office Suite and Excel.
  • Experience with data analytics.

Responsibilities

  • Provide project planning and implementation services with the Associate Director for Facilities Planning.
  • Manage multiple CPMP projects across sites in Long Island and surrounding hospitals.
  • Develop design and construction plans; coordinate FF&E procurement.
  • Create RFQs, bids, and manage contracts and purchase orders.
  • Lead regular progress meetings with contractors and vendors.
  • Maintain complete project documentation and provide status briefings.
  • Use AutoCAD for project drawings as needed.

Salary Range

$ 90,000-$100,000 (pay will be determined based on experience, preferred qualifications, and education)

SUMMARY

The Project Manager for the Facilities Planning Department will be responsible for providing project planning and implementation services working directly with the Associate Director for Facilities Planning. The ideal candidate must be professional, organized and possess a strong attention to detail. The ideal candidate must have the ability to work on multiple projects concurrently. Expertise in Microsoft Office is a must, with an emphasis on Outlook, Word and Excel. Experience with Project Management Software a plus. Must possess the ability to work independently, as well as in a group, and be a self-starter with minimal instruction and oversight.

Job Duties & Essential Functions
  • Responsible for working on Stony Brook Medicine projects. The locations include but are not limited to SBM Community Physician practices and Administrative office locations throughout Long Island, Stony Brook Hospital, Ambulatory Care Pavilion, Ambulatory Surgery Center, Southampton Hospital, and Eastern Long Island Hospital. Provide space planning for clinical practice or office renovation, relocation or development of new locations.
  • Create and review Request for Qualification for services and/or commodities to progress projects. Create bid documents and Request for Proposals, analyze/level bids and maintain contracts/purchase orders for services necessary for projects. Confirm compliance to NYS procurement guidelines as required.
  • Responsible for development and coordination of design and construction plans for assigned projects.
  • Provide project management and construction management to trades personnel and contract labor personnel performing work on new construction and renovation construction projects. Track time and materials to insure projects are accomplished within funding constraints and allowable performance periods. Initiates requests for adjustments, time extensions and scope changes when required. Maintains complete project documentation records on all projects and provides bi-monthly status briefing to the Associate Director, Facilities Planning.
  • Establish regular meetings with contractors and vendors for progress meetings and coordination schedule.
  • Responsible for notifying appropriate practice administrators, department heads and/or their designees of project activities, scheduling and project progress.
  • Works with other units in managing projects to minimize disruption to building occupants and systems, utilities and other operational elements.
  • Coordinate furniture, fixtures and equipment (FF&E) purchase, delivery and install dates with to meet the scheduling needs of the project.Maintain project records, files and reports as needed. Records change orders that develop throughout the course of the project.
  • Design Responsibilities include use of Autocad for various projects.
  • Proactively work with department and/or building occupants, tenants and others to communicate construction activity and minimize disruption through project completion. Project documents will be kept in a digital project including but not limited to bids, bid leveling, plans, specifications, contracts, budgets, schedules and project closeout information. Documentation on space allocation will be provided through use of the ATG system, and development of internal departmental resports as needed
Required Education and Qualifications
  • Associate's degree in healthcare or related field
  • Three (3) years of relevant experience. in hospital facilities planning or facilities and construction project management. In lieu of degree, 5 years' experience in hospital or healthcare facilities planning, or facilities and construction project
  • Knowledge of NYSDOH, FGI, CMS, JCAHO and other regulatory processes. Experience using ProjectMates or other project management software
  • Strong analytical, organizational, written and oral communication skills.
  • Proficiency with Microsoft Office Suite and strong background in Excel.
  • Experience in data analytics.
Preferred Education and Qualifications
  • Master's Degree
  • A Project Management Professional (PMP) certification
  • Prior Healthcare experience
Physical Demands

The employee must be able to exchange accurate information in these situations. This position is largely sedentary and requires the employee to remain stationary for a majority of the day.
