Position Summary

The Facilities Maintenance Project Manager leads maintenance, repair, and capital-improvement projects across an assigned retail portfolio. This role partners closely with Retail Operations, Finance, Real Estate, Asset Management, Construction, Environmental, Legal, and external service providers to keep stores safe, operational, compliant, and customer ready.

The successful candidate is a highly organized, technically knowledgeable project manager who can manage a high volume of concurrent projects, challenge scope and costs appropriately, influence stakeholders without direct authority, and consistently deliver work on time, within scope, and within budget.

This position serves as a key link between field operations and facilities service partners. This is an hybrid role based in Nashville, TN.

Responsibilities

• Manage building maintenance, repair, replacement, and improvement requests for an assigned portfolio of approximately 400 stores.
• Oversee the full project life cycle: intake, site assessment, scope development, vendor selection, bidding, proposal review, budget approval, scheduling, execution, closeout, and documentation.
• Prioritize a high volume of competing requests based on safety, business continuity, customer impact, regulatory needs, and financial impact.
• Develop practical project plans that define scope, timelines, responsibilities, cost expectations, risks, and communication requirements.
• Monitor project progress against approved schedule, scope, and budget; identify variances early and drive timely resolution.
• Validate work completion, confirm quality and operational readiness, and ensure projects are properly closed out with complete records.
• Serve as the primary facilities point of contact for store managers, area managers, regional and division leadership regarding maintenance and improvement projects.
• Communicate project status, schedules, expected operational impacts, risks, decisions, and next steps clearly and consistently to stakeholders.
• Build productive working relationships with Operations Management, Finance, Real Estate, Asset Management, Construction, Environmental, Legal, and other internal partners.
• Escalate safety, schedule, budget, vendor-performance, and business-continuity concerns with clear recommendations and supporting information.
• Manage national, regional, and local vendors and contractors supporting the facilities maintenance program.
• Review vendor recommendations, proposals, scopes of work, and schedules. Challenge assumptions and seek alternatives that protect quality, safety, timing, and cost.
• Train and guide vendors and contractors on company facilities-maintenance protocols, project expectations, documentation requirements, site-access processes, safety standards, and communication practices.
• Hold service partners accountable for scope adherence, schedule performance, workmanship, documentation, customer service, and budget control.
• Identify opportunities to improve vendor sourcing strategies and achieve cost savings without compromising quality or store operations.
• Serve as the primary Operations facilities contact during natural disasters and other significant store-impacting events, coordinating damage assessments, emergency repairs, vendor response, temporary measures, and recovery activities across affected locations. Evaluate facility conditions in partnership with appropriate internal and external resources and determine when a site can be safely returned to Operations. Maintain timely, accurate communication with field leadership during emergency response and recovery efforts.
• Maintain complete, accurate, and current project information in ServiceChannel, including work scope, status, schedules, vendor activity, costs, approvals, photos, closeout documentation, and stakeholder communications.
• Track project spending, forecast remaining costs, and support budget planning and financial reporting for assigned regions.
• Use data, asset condition, and recurring maintenance issues to identify root causes and recommend preventive or long-term solutions.

Minimum Qualifications

• Bachelor’s degree in business, Facilities Management, Construction Management, Real Estate, Engineering, or a related field.
• At least 7 years of progressively responsible experience in corporate real estate, facilities management, construction, or maintenance project management.
• Experience supporting a high-volume, multi-site retail portfolio.
• Demonstrated experience managing multiple concurrent projects across broad geographic regions.
• Strong technical knowledge of commercial building systems, including electrical systems, HVAC systems, plumbing systems, building structure, doors, and signage.
• Working knowledge of basic ADA requirements and accessibility principles.
• Ability to read and interpret construction plans and lease documents.
• Strong negotiation, problem-solving, analytical, and decision-making skills.
• Excellent written, verbal, and presentation communication skills.
• Demonstrated ability to manage ambiguity, respond effectively to urgent issues, and balance multiple priorities in a fast-paced environment.
• Strong proficiency with Microsoft Word, Excel, and PowerPoint.
• Proficiency with ServiceChannel and Lucernex.

Nice to have:

• Project Management Professional (PMP) certification.
• Experience with emergency response planning, disaster recovery, and business-continuity support in a multi-site retail environment.
• Experience with preventive-maintenance programs, asset-lifecycle planning, and facilities analytics.
• Experience identifying and implementing process improvements that reduce operating expense, improve vendor performance, or increase store uptime.
