Position Overview
The Project Manager is a mid-level position with experience managing creative, marketing, digital, and website development projects in an agency environment. This role reports into the Associate Director Project Management and works closely with the strategy, creative and developers to deliver projects that exceed client expectations, ensuring all initiatives are completed on time, within scope, and on budget. Key to success in this role is proactively identifying and solving challenges, excelling at communication, and having a keen eye for detail and process management.
Primary Responsibilities
Project Planning & Execution:
- Manage a portfolio of creative, marketing, and digital projects, including website development, from kickoff to completion.
- Define project scope, deliverables, timelines, and budgets in collaboration with the account management team.
- Create detailed project plans, timelines, and task assignments.
Team Coordination:
- Lead cross-functional teams, including designers, developers, strategists, and content creators, ensuring alignment and productivity.
- Schedule and facilitate internal meetings, creative reviews, and status updates.
- Coordinate with external vendors and freelancers as needed.
Project Monitoring:
- Track project progress, identifying and mitigating risks or delays.
- Ensure adherence to timelines, budgets, and quality standards.
- Manage scope changes and approvals effectively.
Quality Assurance:
- Oversee the review and testing of deliverables, particularly for digital and website projects.
- Ensure all work meets client expectations and agency quality standards before deliver.
- Ensure that project data is managed and up to date in the project management tool (currently Kantata).
Process Improvement:
- Contribute to refining agency workflows and processes for greater efficiency and quality.
- Participate in post-project reviews to identify areas for improvement.
Qualifications & Skills Requirements
- Bachelor's degree (e.g. Marketing, Advertising, Business, Communications, Graphic Design or other related degrees)
- 3-5 years experience in agency project management or producer role, with digital and traditional deliverables within an agency environment.
- Proven ability to effectively lead and manage multiple projects simultaneously, including multi-disciplinary teams, budgets and schedule information.
- Excellence in client interface and customer service.
- Good knowledge of content management systems such as Drupal and WordPress.
- Knowledge of agile and waterfall project management methodologies.
- Experience working with marketing, creative and technology teams.
- Exceptional communication skills - you will often be speaking with both technical and non-technical stakeholders.
- Confident and experienced in speaking to clients in person and on the phone.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects concurrently while maintaining command of deliverables, timelines and next steps.
- Experience with project management and collaboration tools such as Basecamp, JIRA, Kantata (formerly Mavenlink), and Google Suite.
