Job summary

Viking Masek Packaging Technologies in Oostburg, Wisconsin is seeking a Project Management Associate to support planning, coordination, and execution of complex manufacturing projects. You'll collaborate with Project Managers and cross-functional teams to keep schedules, documentation, and action items organized.

Qualifications

  • Basic understanding of manufacturing processes or capital equipment projects.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).

  • Strong time management and prioritization skills.
  • Effective written and verbal communication; able to manage multiple tasks in a fast-paced environment.
  • Proactive problem-solving mindset with ability to escalate issues.
  • Basic technical literacy and comfort with mechanical/electromechanical components.
  • Eagerness to learn and grow within a technical project management team.

Responsibilities

  • Coordinate & Track: assist with project schedules, timelines, task trackers, and milestones; monitor progress and update systems.
  • Organize & Document: maintain project files, contracts, change orders, drawings, and version control.
  • Communicate & Collaborate: coordinate meetings with customers, vendors, and internal teams; prepare notes and updates.
  • Support Project Reporting: help prepare progress reports, dashboards, FATs, and site reports.
  • Coordinate Materials & Logistics: track parts, coordinate with Purchasing and Inventory, follow up on orders.
  • Improve & Learn: identify process improvements and participate in close-out activities.

Job Description:

As a Project Management Associate, you will support the planning, coordination, and execution of projects from kickoff through delivery. Working closely with Project Managers and cross-functional teams, you will help maintain project schedules, documentation, communication, and action items to keep projects organized and on track.

As a key support role, you’ll assist in tracking progress, preparing reports, coordinating meetings, and following up on action items to help keep complex machine builds on schedule. This role is an excellent opportunity for someone early in their project management career who is eager to learn, contribute, and grow within a fast-paced manufacturing environment.

What You’ll Do
  • Coordinate & Track: Assist with project schedules, timelines, task trackers, and milestones. Monitor project progress, update internal systems, and follow up on action items to help keep projects moving forward.
  • Organize & Document:Maintain accurate project files, including contracts, change orders, technical drawings, and other project documentation. Support version control and ensure documentation remains organized throughout the project lifecycle.
  • Communicate & Collaborate:Coordinate project meetings, calls, and reviews with customers, vendors, and internal teams. Prepare agendas, meeting notes, and project updates while ensuring important changes and concerns are communicated to the appropriate stakeholders.
  • Support Project Reporting:Help prepare progress reports, status updates, dashboards, and other project materials for internal teams and customers. Assist with preparation for factory acceptance tests (FATs) and site reports.
  • Coordinate Materials & Logistics:Track parts and materials needed to support project timelines. Work with Purchasing and Inventory to monitor component availability and delivery, assist with packing lists and shipping documentation, and follow up with vendors on order status or delays.
  • Improve & Learn:Identify opportunities to improve project processes and documentation. Participate in project close-out and lessons-learned activities while continuing to build knowledge of project management principles, tools, systems, and software.
