Job summary

Convergint seeks a full-time Project Cost Administrator. You will coordinate contract legal reviews and signatures, set up projects in Spectrum, review costs, and assist with monthly financial forecasts and progress billing. You’ll work with managers to monitor financial performance and address cost/delivery concerns to keep projects on track.

Qualifications

  • Excellent interpersonal and verbal communications skills.
  • Strong MS Office skills including Outlook, Excel and Word.
  • Solid financial analytical skills for cost control and reporting.
  • Experience with accounts receivable processes.
  • Attention to detail and results oriented.
  • Team-oriented with ability to adapt to change.
  • Proficiency with financial software and data analysis.
  • 3+ years bookkeeping or project cost accounting preferred.

Responsibilities

  • Coordinate contract legal reviews and signatures and manage documentation.
  • Book new projects and change orders; notify stakeholders.
  • Monitor job costs and provide feedback for timely decisions.
  • Conduct monthly project (WIP) reviews and adjust projected costs as needed.
  • Assist with monthly billings and minimize unbilled revenue.
  • Support accounts receivable and ensure timely invoice payment.
  • Act as second level approver for project AP invoices.
  • Review invoices for accuracy and correct GL codes.
  • Monitor open PO reports and compare to monthly forecast.
  • Assist in monthly revenue and gross margin forecasting.
  • Track subcontractor invoices and COI's; ensure timely payments.
  • Prepare and send customer surveys monthly.

Convergint is looking for a full-time, enthusiastic, results driven and forward-thinking Project Cost Administrator to join our amazing culture. In this role, you will be responsible for coordinating legal review of contracts, job set-up in Spectrum, project cost review and control, assist with monthly financial forecast, and progress billing preparation. Working closely with stakeholders to identify any project concerns with respect to delivery and cost. Works with managers to monitor and manage financial performance against monthly forecast and profit plan. What you'll do with "Our Training and Your Experience"

  • Coordinates contract legal reviews and signatures. Ensures that all required documentation is signed and returned to customer. Coordinates COI's and OCIP/CCIP documentation, if required.
  • Books new projects and change orders, sends notifications of job bookings to internal stakeholders.
  • Monitors job costs, identifies anomalies and provides managers with accurate feedback to enable effective and timely decisions.
  • Carries out monthly project (WIP) reviews with project managers to identify any costing issues, billings required, schedule impacts; escalates any project issues to manager. Documents status and/ or issues on each project. If necessary, changes projected cost on projects.
  • Assists with monthly project billings ensuring customer requirements for detail and documentation are maintained. Works with Project Managers (PM) to minimize unbilled revenue. Works with customer and project managers to resolve any anomalies or issues.
  • Assists project managers and accounts receivable team to ensure timely payment of invoices.
  • Acts as second level approver for all project accounts payables invoices.
  • Reviews invoices for accuracy and correct GL codes. Monitors PM queues regularly and reports issues to manager.
  • Monitors open PO report weekly, maintains accuracy and compares to monthly forecast.
  • Assists manager in creating monthly revenue and gross margin forecast. Monitors and tracks against forecast.
  • Monitors revenue on projects on a weekly basis and reports issues to manager.
  • Manages and tracks subcontractor invoices against monthly forecast. Approves invoices for revenue and payment according to PM's approval.
  • Maintains and tracks Subcontractor COI's and lien waivers.
  • Reviews inactive projects on a monthly basis for trailing costs. Resolves any identified issues.
  • Monitors unbilled revenue on a weekly basis and provides reports to manager. Resolves any identified issues.
  • Runs labor utilization reports weekly and provide to managers. Resolves any identified issues.
  • Runs month end financial reports and works with manager to achieve planned financial results.
  • Runs financial reports and works with manager and PM's to forecast following months revenue and gross margin.
  • Prepares and sends customer surveys monthly.
  • Acts as "our customer's best service provider" always, thereby ensuring Convergint is the customer's 1st choice for service
  • Performs other duties and responsibilities as requested or required

Requirements:

Education: College degree, trade school or equivalent experience

Preferred Experience: (but not required):

  • 3 years bookkeeping or an accounting environment
  • 3 years project cost accounting
  • 2 years in a construction environment
