Job description

Why Tarlton

Tarlton is a St. Louis-based commercial, institutional, and industrial contractor. Our Special Projects Group handles the work that keeps our clients’ facilities running — renovations, upgrades, tenant work, and fast-turn projects delivered under a Master Service Agreement (MSA) with a long-standing client.

The rhythm is different from a single large build. Several projects move at once, schedules are short, and the client counts on us being easy to work with. The Project Coordinator sits at the center of that: you set projects up, keep the paperwork and systems straight, and close them out. If you want to learn how a construction project actually runs from award through turnover, this is one of the best seats in the company to do it — and it is the first step in our project management career path.

Your Role

The Project Coordinator keeps project administration accurate and current so Project Managers, Project Engineers, and Superintendents can stay focused on execution. You will support projects from award through closeout — system setup, contract and financial paperwork, safety documentation, permitting, document control, and closeout records — across the Special Projects Group’s MSA portfolio.

What You'll Do
Project Setup & Systems
  • Set up new projects in Viewpoint, Procore, and Egnyte, and keep records current as work progresses.
  • Upload drawings, specifications, and addenda, and distribute current revisions to the project team.
  • Maintain the project directory so subcontractor, vendor, and client contacts stay accurate.
  • Set up Building Connected sites and invite subcontractors.
Contract & Financial Administration
  • Track and file Owner Purchase Orders issued under the Master Service Agreement.
  • Support cost book setup and initial data entry with the Project Manager and Project Engineer.
  • Draft subcontract and purchase order requisition forms for Project Manager review.
  • Coordinate subcontractor pricing and draft proposals for approval before they go to the client.
Safety & Site Access
  • Schedule safety kickoff meetings and track Site-Specific Safety Plans for each project.
  • Verify legal and OSHA-required site postings are current, with the Safety Department and Superintendent.
  • Administer client badging and site access for Tarlton and subcontractor personnel, including logs, renewals, and client-required training.
Documentation, Permitting & Reporting
  • Maintain submittal, RFI, and drawing logs.
  • Complete permit applications, track them through issuance, and distribute permit numbers to subcontractors.
  • Assemble quarterly client reporting across the MSA portfolio into a single master file.
Closeout
  • Collect and file record drawings, warranties, and O&M manuals.
  • Enter punch list items in Procore and assign them to subcontractors for review and distribution.
  • Support scheduling of pre-commissioning, TAB, and final commissioning with the client, engineer, and subcontractors.
  • Perform other duties as assigned.
Experience
  • Two or more years of administrative, project support, or coordination experience. Construction, engineering, or A/E industry experience preferred.
  • A track record of managing many small deadlines across concurrent projects without dropping items.
  • Comfortable working directly with subcontractors, vendors, and client contacts.
  • Construction management graduates and candidates with relevant internship experience are encouraged to apply.
Education & Certifications
  • High school diploma or equivalent required. Associate’s or bachelor’s degree in Construction Management, Business, or a related field preferred.
  • Valid driver’s license required.
  • OSHA 10 required within the first six months — we will get you there. OSHA 30 available.
  • Procore Project Manager (Project Management) certification within the first year — free, self-paced, and built for project coordinators.
  • AGC Project Manager Development Program (PMDP) supported for those who want to grow toward Project Engineer.
Tools & Software
  • Procore — project setup, drawings, submittals, RFIs, punch list (training provided).
  • Viewpoint Vista — project setup, cost book entry, requisition forms.
  • Egnyte — file structure and document storage.
  • Building Connected — bid site setup and subcontractor invitations.
  • Microsoft Excel at an intermediate level for multi-project trackers and reporting rollups. Word, Outlook, and Teams.
  • Bluebeam Revu preferred.
Work Location, Environment & Travel Requirements
  • Work is normally performed in a typical interior/office work environment where the noise level is usually quiet.
  • If required, the employee may work from a jobsite trailer on occasion or owner-designated office location. The noise level in the work environment can be loud due to heavy equipment, jack hammers, pneumatic tools, etc. These sounds can be non-stop throughout the day.
  • Occasional local travel required between the office and project sites.
  • Occasional local or regional travel required for business or community events.
Tarlton Competencies
  • Leadership & Team Development: Provides clear direction, sets expectations, holds others accountable, and develops team members through coaching and support

  • Competitive compensation, comprehensive benefits, and long‑term career growth
  • A company proud to be STLMade and invested in the region
