The Project Coordinator / Scheduler is an essential support role, responsible for facilitating the smooth execution of projects through meticulous planning, scheduling, and coordination. This individual will develop and maintain detailed project timelines, track progress, manage resources, and ensure effective communication across project teams. The coordinator plays a vital role in organizing project documentation, supporting administrative tasks, and contributing to the overall efficiency and successful delivery of initiatives.
Responsibilities:
- Develop, maintain, and meticulously track detailed project schedules, including task dependencies, resource assignments, and critical paths, using project management software
- Monitor project progress against established timelines, identifying deviations, potential delays, and proactively communicating impacts to the project manager
- Coordinate with various project teams and stakeholders to gather status updates, identify roadblocks, and facilitate necessary schedule adjustments
- Assist project managers in resource planning and allocation, ensuring optimal utilization of personnel and other project assets
- Prepare and distribute accurate project status reports, meeting minutes, action item lists, and other relevant documentation to all stakeholders
- Facilitate project meetings, workshops, and communication channels, ensuring effective information flow and productive discussions
- Manage and organize all project documentation, ensuring files are current, accessible, and properly archived for future reference and audit
- Track project deliverables and milestones, collaborating with teams to ensure timely completion and adherence to quality standards
- Identify and escalate potential project risks and issues to the project manager for timely resolution and mitigation
- Provide comprehensive administrative support to the project team, including scheduling meetings, managing calendars, preparing presentations, and coordinating logistics
Certifications:
- Certifications in Project Management (e.g., Certified Associate in Project Management - CAPM) or proficiency in specific scheduling tools (e.g., Microsoft Project, Jira) are beneficial
Experience required:
- 2+ years of experience in a project coordination, project scheduling, or administrative support role within a professional project-based environment
- Proficiency in project management software and scheduling tools (e.g., Microsoft Project, Asana, Jira, Smartsheet)
- Strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication and interpersonal skills
- Proactive approach to problem-solving and a strong ability to work effectively in a team-oriented environment
