Job Description
GENERAL SUMMARY:
Join a dynamic project management team where you'll drive operational excellence and strategic impact. As a Project Coordinator for Planning, Design, and Construction (PDC), you'll be the backbone of complex capital projects—ensuring seamless communication, accurate documentation, and efficient processes across all stakeholders. This role offers the opportunity to grow into a leadership position while making a tangible difference in project delivery and organizational success.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Strategic Financial & Project Leadership
- Lead the setup and financial administration of complex capital projects, ensuring accuracy in project funding, cost tracking, and financial coding across all systems
- Initiate commitment requests, review invoices for sworn statements and lien waivers, and manage comprehensive project closeout processes
- Conduct project closeout reviews, finalize all commitments, and coordinate with Finance for seamless project closure
Data-Driven Decision Making & Reporting
- Develop advanced reports and dashboards that provide executive-level insights into project performance, budget forecasting, and key metrics
- Analyze trends and recommend process improvements that drive efficiency and cost savings across the department
Systems Optimization & Technical Excellence
- Oversee daily integration reviews between software applications and coordinate with CPSS to resolve system errors promptly
- Perform monthly data scrubbing and system administration to maintain data integrity and operational efficiency
- Initiate, review, and coordinate task orders while ensuring full compliance with capital authorization policies
- Lead strategic communication with vendors and internal stakeholders to ensure alignment and successful project execution
- Oversee compliance reporting processes and ensure timely submission of regulatory documents to permitting agencies
- Maintain secure project documentation, track action items, and proactively identify potential roadblocks with mitigation strategies
Cross-Functional Collaboration & Communication
- Act as the central communication hub, ensuring alignment across diverse teams including architecture, interior design, IT, equipment planning, artwork, sustainability, real estate, and finance
- Foster strong relationships with regional staff and external partners to support project success
- Train and mentor new Project Coordinators, establishing yourself as a trusted subject matter expert for software applications and departmental processes
- Provide strategic guidance to team members and support continuous professional development across the organization
Strategic Initiatives & Operational Excellence
- Lead or support departmental special projects and strategic initiatives that drive continuous improvement and organizational growth
- Assume accountability for team deliverables, maintain quality standards, and provide direction to team members as neededActively participate in safety initiatives and risk mitigation measures, completing all position and unit safety competencies on schedule
- Provide general administrative support for projects and perform additional duties as assigned
Qualifications
EDUCATION/EXPERIENCE REQUIRED:
- Bachelor’s degree required, or 4 years of experience in accounting, project management or business management in lieu of degree.
- Four (4) years’ relevant experience.
- Skills – Strong organizational skills, attention to detail, and proficiency with project management tools. Excellent verbal and written communication are required to navigate collaborative healthcare environments.
- Proficiency in Microsoft Suite (Office, Excel, PowerPoint, Project).
- Preferred experience in e-Builder and SharePoint.
- Knowledge of Bluebeam or other PDF markup software
