  • Associate or bachelor’s degree in Project Management, Business, Engineering, Construction Management, or related field preferred; equivalent experience will be considered.
  • 2+ years of project coordination, project administration, operations, construction, electrical, engineering, or technical service experience preferred.
  • Experience in technical, industrial, construction, utilities, electrical, or field service environments is a plus.

Responsibilities

  • Support Project Managers with planning and execution of electrical maintenance, engineering, testing, system design, and electrical upgrade projects.
  • Coordinate project schedules, work orders, materials, equipment, personnel, and other resources.
  • Assist with developing project schedules, execution plans, milestones, and resource requirements.
  • Review project scopes, work orders, drawings, specifications, and customer requirements for completeness.
  • Coordinate kickoff activities and ensure teams have information and resources to begin work.
  • Monitor progress and communicate updates, delays, schedule changes, and issues to Project Manager.
  • Help coordinate multiple projects simultaneously while maintaining records and deadlines.
  • Assist with project closeout activities and ensure documentation is completed.

Description

We are seeking a Project Coordinator to support the planning, coordination, documentation, and successful execution of technical field service and engineering projects. This position will work closely with Project Managers, field technicians, engineers, customers, and internal teams to ensure projects remain organized, properly scheduled, accurately documented, and aligned with customer expectations.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced technical environment. This position will requireapproximately 30% travel to customer and project sites. When not traveling, the Project Manager will work from one of our corporate offices. We are open to candidates based out of either our Columbus, OH or Tipp City, OH locations.

Project Coordination
  • Support Project Managers with the planning and execution of electrical maintenance, engineering, testing, system design, and electrical upgrade projects.
  • Coordinate project schedules, work orders, materials, equipment, personnel, and other resources.
  • Assist with developing project schedules, execution plans, milestones, and resource requirements.
  • Review project scopes, work orders, drawings, specifications, and customer requirements to ensure information is complete and accurate.
  • Coordinate project kickoff activities and ensure project teams have the information and resources needed to begin work.
  • Monitor project progress and communicate updates, delays, schedule changes, and other issues to the Project Manager.

Customer & Internal Coordination
  • Serve as a key point of contact for routine project coordination and administrative needs.
  • Communicate with customers regarding schedules, work orders, documentation, project status, and other project-related items.
  • Coordinate with field technicians, engineers, Project Managers, Operations, Sales, and other internal teams.
  • Schedule customer meetings, project calls, site visits, maintenance activities, and other project-related events.
  • Follow up with internal and external stakeholders to ensure deliverables and action items are completed on time.
  • Assist with resolving project questions and expedite issues to the Project Manager when appropriate.
Project Documentation & Reporting
  • Maintain accurate and organized project files throughout the project lifecycle.
  • Prepare and distribute project documentation, reports, schedules, meeting notes, and other required materials.
  • Assist with maintaining Change Logs, Change Orders, RFIs, project schedules, and action-item trackers.
  • Ensure customer drawings, specifications, work orders, and other project documentation are current and properly maintained.
  • Assist with daily, weekly, monthly, and project closeout reporting.
  • Track project milestones and deliverables and provide regular status updates to Project Managers and leadership.
  • Ensure documentation is completed in accordance with company and customer requirements.
Materials, Equipment & Resources
  • Coordinate the ordering, availability, and delivery of project materials and equipment.
  • Work with Operations and field teams to ensure required tools, equipment, and materials are available when needed.
  • Track material and equipment requirements and communicate potential shortages or delays.
  • Assist with coordinating field crew schedules and travel arrangements when required.
  • Support maintenance turnaround and larger project activities by coordinating resources and schedules.
  • Assist Project Managers with tracking project costs, labor, equipment, and materials.
  • Maintain accurate records of project-related labor, equipment, and material usage.
  • Support the invoicing process by ensuring completed work and associated costs are properly documented and approved.
  • Assist with tracking project budgets and identifying potential cost or scope concerns.
  • Support the preparation and processing of Change Orders and other project-related financial documentation.
Safety & Quality
  • Support the Project Manager and field teams in maintaining a strong safety culture throughout project execution.
  • Ensure required safety documentation is completed and maintained.
  • Assist with coordinating safety meetings, training, and project-specific safety requirements.
  • Ensure project documentation and deliverables meet established company and customer quality requirements.
  • Promote safe work practices in all interactions with field employees, customers, and project teams.
Team Support
  • Partner closely with Project Managers and technical leads to support successful project execution.
  • Help keep project teams informed of schedules, changes, deliverables, and customer requirements.
  • Build strong working relationships across Operations, Engineering, Sales, Finance, and Field Services.
  • Identify opportunities to improve project coordination processes, documentation, and communication.
  • Provide administrative and operational support to Project Managers as needed
Requirements
  • Associate or bachelor's degree in Project Management, Business, Engineering, Construction Management, or a related field preferred; equivalent experience will be considered.
  • 2+ years of project coordination, project administration, operations, construction, electrical, engineering, or technical service experience preferred.
  • Experience working in a technical, industrial, construction, utilities, electrical, or field service environment is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to coordinate multiple projects, deadlines, and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally with customers, field employees, engineers, Project Managers, and leadership.
  • Strong follow-up skills and the ability to proactively track outstanding items.
  • Ability to read and understand basic project documentation, work orders, drawings, and technical specifications.
  • Strong problem-solving skills and the ability to identify and elevate issues appropriately.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Experience with ERP, project management, scheduling, or document management systems preferred.
  • Ability to work independently while also functioning effectively as part of a collaborative team.
  • Experience supporting project budgets, invoicing, change orders, or cost tracking is a plus.
Physical & Travel Requirements
  • Valid driver's license and ability to meet company background check and drug-screen requirements.
  • Must be legally authorized to work in the United States without employer sponsorship.
  • Ability to lift and carry up to 50 pounds of equipment, tools, PPE, and documentation as needed during site visits.
  • Ability to stand, walk, bend, kneel, and climb when visiting customer facilities and project sites.
  • Ability to navigate electrical rooms, substations, mechanical spaces, industrial facilities, and construction environments.
  • Ability to work in varying environmental conditions, including heat, cold, humidity, outdoor substations, and industrial facilities.
  • Ability to wear required PPE, including hard hat, safety glasses, gloves, steel-toe boots, hearing protection, and FR/AR clothing when visiting active project sites.
  • Ability to safely navigate areas surrounding electrical equipment while following applicable safety requirements.
  • Ability to travel approximately 30%, including occasional overnight travel based on project requirements.
