Job description

Overview

The Office of University Research & Innovation (OURI) supports and advances research, scholarship, innovation, and the administrative and operational activities that help these efforts succeed across Tufts University. Working behind the scenes, OURI helps faculty, researchers, and university leaders navigate research administration, compliance, technology transfer, research infrastructure, environmental health and safety, and other initiatives that support Tufts' growing research enterprise.

This is not a research position. Rather than conducting research, the individual in this role helps support the operations, communications, events, and administrative activities that enable the university's research mission.

Reporting to OURI leadership, the Project Coordinator supports a variety of administrative, operational, communications, and event-related initiatives that help advance the university's research and innovation mission. This position is ideal for an organized, enthusiastic, and adaptable professional who enjoys learning new things, supporting a wide range of activities, and contributing to a collaborative team environment.

This role offers an excellent opportunity to build experience in administrative coordination, event planning, communications, website management, and university operations while working closely with faculty, staff, researchers, and senior university leaders. Successful candidates will enjoy a dynamic work environment where no two days are exactly alike. Some days may focus on planning meetings, updating websites, or creating communications materials, while others may involve coordinating conferences, supporting special events, and helping ensure important initiatives run smoothly.

Candidates who have developed organizational, communications, customer service, administrative, event coordination, or leadership skills through professional experience, internships, campus involvement, or student employment will find meaningful opportunities for growth and professional development in this role.

This position is based on Tufts University's Boston campus and follows a hybrid work arrangement. The successful candidate is expected to work on campus at least three (3) days per week, with remote work flexibility in accordance with university and departmental guidelines.

What You'll Do

Reporting to OURI leadership, the Project Coordinator provides critical administrative, operational, communications, and event support for a variety of university, programmatic, and research-support initiatives. This role works closely with faculty, staff, students, university leadership, and external partners to coordinate projects and events, support communications and outreach efforts, maintain project information and records, and assist with initiatives that advance Tufts University's research and innovation mission.

Responsibilities include:

  • Produce and maintain a variety of documents, reports, presentations, correspondence, meeting materials, and other communications.
  • Serve as a point of contact for faculty, staff, students, and external partners by responding to inquiries and providing information regarding OURI programs, events, and activities.
  • Organize and maintain project files, databases, records, and tracking systems while ensuring information remains current, accurate, and accessible.
  • Support administrative and operational activities by monitoring timelines, tracking deliverables, maintaining project information, and updating forms, applications, and other tools used for information collection and reporting.
  • Assist with budget monitoring, financial transactions, expense reconciliation, and preparation of operational and project-related reports.
  • Coordinate and execute logistics for meetings, seminars, workshops, conferences, leadership events, and special programs, including registration management, venue and catering coordination, travel arrangements, speaker support, signage and printed materials, and day-of-event execution.
  • Support OURI communications and outreach efforts through website content updates, email announcements, newsletters, social media communications, marketing materials, presentation decks, and informational resources.
  • Assist with website content management activities to help ensure OURI web resources remain current, accurate, and user-friendly.
  • Conduct internet and background research, gather information, and prepare summaries, reports, and briefing materials to support departmental initiatives and decision-making.
  • Assist with planning and coordination of meetings, communications, and initiatives involving OURI leadership, faculty leaders, research administrators, and other university stakeholders.
  • Support cross-functional initiatives and collaborate with colleagues across schools, departments, centers, institutes, and administrative units.
  • Provide guidance and work direction to student workers, temporary staff, or other support personnel as needed.
