Job summary

Jobtailor is seeking a detail-oriented Project Coordinator to support the Tech Ops department and project teams. You will manage logistics, documentation, and vendor coordination across the project lifecycle, ensuring compliance with company policies.

You will prepare project documents, track procurement, assist with billings, and help with change orders and BOM management. This role requires strong communication and multitasking in a fast-paced environment.

Qualifications

  • High School diploma or GED required.
  • 2+ years in administrative support or project-related roles preferred.
  • AVIXA CTS Certification is desirable.
  • MS Office proficiency with emphasis on Word.
  • Familiarity with MS Project is a plus.
  • Strong written and verbal communication skills.
  • Ability to manage shifting priorities and timelines.
  • Ability to coordinate with multiple departments.

Responsibilities

  • Direct, organize, and control project activities.
  • Support logistics, planning, and coordination through the project lifecycle.
  • Assist with kick-offs, equipment ordering and tracking, and closeout procedures.
  • Create project documents and coordinate vendors.
  • Track procurement and schedules; attend project meetings.
  • Review customer PO and contracts for compliance.
  • Coordinate with Sales and Project Management to resolve issues.
  • Provide admin support to Tech Ops, project teams, and local management.
  • Initiate regular project billings with AR staff; include AIA documents when applicable.
  • Post critical project documents on enterprise portals.
  • Assist with change orders in the ERP; interface between PM and Procurement.
  • Assist in managing the Bill of Materials for active projects.
  • Coordinate deliveries with Shipping & Receiving; onsite tasks as needed.
  • Provide equipment tracking, documentation logging, and vendor quote support.
  • Check delivery status and follow up on PO issues.
  • Attend meetings and assist PMs with agendas and tasks.
  • Organize monthly labor reports and prep forms.

Job description

  • Direct, organize, and control project activities
  • Support logistics, planning, and coordination throughout the project lifecycle
  • Assist with project kick-offs, equipment ordering and tracking, and project closeout procedures
  • Create project documents and coordinate vendors
  • Track procurement and schedule and attend project meetings
  • Review customer purchase orders and contracts for compliance with company policies and requirements
  • Coordinate with Sales and Project Management to resolve issues
  • Provide administrative and clerical support to the Tech Ops department, project teams, and local management
  • Initiate regular project billings with designated Accounts Receivable staff, including AIA billing documents when applicable
  • Post critical project documentation on enterprise document management portals
  • Assist Project Managers with project change orders in the ERP
  • Serve as the primary interface between Project Management and Procurement
  • Assist in managing the Bill of Materials for active projects
  • Coordinate project deliveries with Shipping & Receiving
  • Coordinate onsite deliveries, inventory, and other onsite tasks as needed
  • Provide equipment tracking, documentation logging, and subcontractor/vendor quote support
  • Check equipment delivery status and follow up on missing purchase orders
  • Attend project meetings and assist Project Managers with agendas and tasks
  • Organize monthly labor reports and reproduce forms for project preparation and service
Requirements
  • High School diploma or GED
  • Two year technical/business degree or equivalent work experience preferred
  • AVIXA CTS Certification is desirable
  • 2+ years of experience in an administrative support role and/or projects-related role
  • Experience with MS Office suite of software products, with an emphasis on MS Word skills
  • Familiarity with project management software, such as MS Project, is a plus
  • Technically competent with Word, Excel, PowerPoint, and similar software
  • Ability to communicate relevant project information accurately
  • Ability to adapt to shifting priorities, demands, and timelines
  • Ability to elicit cooperation from varied sources and departments
  • Strong written and oral communication skills

  • Ability to prioritize and execute tasks in a high-pressure environment
