Job summary

NOLO is seeking a Project Coordinator to join the Delivery arm, ensuring multiple live client projects stay organised and on track. You will support Project Managers with day-to-day coordination, keep plans and actions up to date, and help move work forward across teams.

This early-career role values organization, proactive follow-through and clear communication, with face-to-face meetups twice a year as part of a fully remote, GMT +/-5hrs worldwide setup.

Qualifications

  • Early-career role; experience in project coordination or operations.
  • Experience in startup, agency, consultancy or fast-moving environments.
  • Exposure to client-facing work is helpful but not essential.
  • Experience in ecommerce, retail or technology is useful, but not essential. Curiosity and the ability to learn quickly matter more

Responsibilities

  • Keep project plans, actions, deadlines and documentation up to date.
  • Coordinate project meetings, scheduling and follow-up.
  • Track actions and dependencies, following up with the right people to keep work moving.
  • Spot blockers or slipping actions and raise them early.
  • Flag where changes, delays or additional requests could have an impact on project scope or budget.
  • Help keep Project Managers, Solution Architects, Developers and the wider client and commercial team aligned on project progress, actions and next steps.
  • Turn meetings and conversations into clear actions, owners and deadlines.
  • Support preparation for client meetings, updates and project communications.
  • Build confidence communicating directly with clients on day-to-day coordination.
  • Take ownership of lower-complexity projects and pieces of work as your experience grows, with PM support where needed.

About us

Our business has two complementary arms:

  • Delivery: hands-on client projects, tailoring and implementing solutions
  • Product: universal, configurable templates that form the backbone for delivery to build on

We're looking for a Project Coordinator to join the Delivery side of the business, supporting our Project Managers and wider delivery team to keep projects organised, moving and on track.

About the role

Multiple live client projects. Dozens of moving parts on each one. Actions agreed in a Tuesday call that need to be real by Thursday.

Most of it goes fine. The things that don't are almost never hard problems. They're a question nobody chased. A dependency nobody flagged. A decision that quietly went unmade for a fortnight and took a sprint down with it.

That's where this role lives.

As a Project Coordinator at Nolo, you'll bring organisation, momentum and follow-through to our projects. You'll support our Project Managers with the day-to-day coordination of client work: keeping plans and actions up to date, organising meetings, following up on next steps and making sure nothing slips through the cracks.

By owning the coordination and follow-through that keeps projects moving, you free our Project Managers to focus on managing delivery, clients, risks and decisions, creating more capacity and impact across the team.

You'll work across projects and Project Managers, flexing your support to wherever coordination capacity is most needed.

Responsibilities
Project coordination and delivery support
  • Keep project plans, actions, deadlines and documentation up to date
  • Coordinate project meetings, including scheduling, preparation and follow-up
  • Track actions and dependencies, following up with the right people to keep work moving

Team and client coordination

Process and operational support
  • Keep project systems, trackers and documentation accurate and organised
  • Support consistent project management processes and ways of working
  • Spot simple improvements that could make delivery smoother or more reliable

  • Reading an action list back at the end of a call so nobody leaves with a different version of what was agreed
  • Spotting that a client hasn't sent the product data 3 sprint tickets depend on, and chasing it before the sprint starts
  • Getting a meeting in the diary that 4 people have been meaning to arrange for a week
  • Flagging that a "quick extra request" is actually a fortnight of work, before anyone says yes to it
  • Leaving a project tracker in a state where the PM's Monday update takes 10 minutes instead of an hour
  • Supporting Project Managers with the day-to-day coordination that keeps everything moving
