We’re seeking a Project Coordinator to join us. This is a remote position.

As a Project Coordinator , you will play an important role in supporting our Operations team by helping ensure client-dependent tasks and operational requests continue moving forward. You will track outstanding items that require client input, information, decisions or action; coordinate with the Client Relationship team and clients to obtain what is needed; and provide clear visibility into status, deadlines and next steps.

What you’ll do:

• Partner closely with Operations teams to identify work that is pending client information, responses, approvals or other required actions


• Maintain and manage a clear inventory of outstanding client-dependent tasks, including owners, due dates, status and next steps


• Proactively follow up on outstanding client items, working through the Client Relationship team when appropriate and communicating directly with clients as needed


• Help Operations obtain the information and answers needed to complete requests, resolve issues and keep work moving forward


• Monitor aging and overdue items and elevate delays, recurring barriers or high-priority needs to the appropriate Operations and Client Relationship team members


• Coordinate follow-up across Operations, the Client Relationship team and clients so responsibilities and expectations are clear


• Document client responses, decisions and completed actions and ensure the appropriate internal teams receive the information they need


• Maintain trackers, status reports and other documentation that provide visibility into open client dependencies and progress toward resolution


• Assist with gathering and documenting requirements, questions and supporting information from Operations before client outreach


• Identify gaps, dependencies and potential roadblocks that could impact operational timelines and communicate them to the appropriate stakeholders


• Support consistent processes for tracking, communicating and closing client-dependent action items

What you’ll bring to Zotec:

• Bachelor’s degree or comparable education and job-related experience


• 1–2 years of experience in project coordination, operations, client support or a related role preferred


• Proficiency with Microsoft Office


• Strong organizational skills with the ability to manage multiple priorities, deadlines and follow-up items simultaneously


• Excellent written and verbal communication skills


• Confidence and professionalism when communicating directly with clients and internal stakeholders


• Strong attention to detail and a commitment to following items through to completion


• Ability to build positive working relationships with clients and cross-functional teams


• A proactive mindset with the ability to identify what needs to happen next and take action


• Ability to work effectively in a fast-paced environment where priorities may shift


• A collaborative, service-oriented approach and a desire to help Operations teams remove roadblocks and drive work to completion
