Job summary

Responsibilities

  • Schedule ad-hoc and recurring meetings using Outlook, Teams, and Zoom.
  • Keep consortia membership rolls and member contact information up to date using Salesforce.
  • Help prepare and ensure project and meeting documents (e.g., agendas, minutes) are complete, current, and stored appropriately.
  • Ensure COA Program content (e.g., publications and presentations of the consortia) are updated in SharePoint and communicated externally as appropriate, by collaborating with the Communications team and Program staff.
  • Track tasks via Monday.com by providing accurate updates on a timely basis.
  • Plan, coordinate, and track work on various working group action items as requested by project managers.
  • Complete monthly expense reports in Suti Expense and enters expense data into Program financial tracking spreadsheets.
  • Identify opportunities for improvement and make constructive suggestions for change.
  • Work together with other members of the larger team in an efficient manner.
  • Track and document best practices and lessons learned and share those with the team.
  • Assist with planning and executing large virtual or offsite meetings.
  • Assist with company-wide administrative needs, covering the front desk, helping prepare or clean up from on-site events, etc.

POSITION OVERVIEW

Clinical Outcome Assessment Program (COAP) staff is comprised of both on-site and remote personnel. The COA Program is a team of individuals responsible for management and support of projects within the COA Program's three consortia: Electronic Clinical Outcome Assessment Consortium (eCOA) Consortium, Rare Disease Clinical Outcome Assessment (RD-COA) Consortium and Patient-Centered Evidence (PCE) Consortium. In addition to the support of the three program consortia, the project coordinator will also be responsible for supporting projects across C-Path as assigned. The PC work will focus on the support, organization, coordination, and communication of activities involving members of the Program. The PC is responsible for performing independent time-sensitive tasks to support the successful operation of the Program.

ESSENTIAL DUTIES/RESPONSIBILITIES

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to interact professionally with multiple global stakeholders, including C-Path staff, scientists from industry, academia, and government regulatory agencies by phone, email, and in person
  • Proficient use of Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook), Adobe Acrobat Pro, online scheduling polls (e.g., Doodle Poll, WhenIsGood), internet browsers, web-based applications, and cloud-based file management systems (e.g., SharePoint)
  • Proficient use of virtual meeting tools (e.g., Zoom, Teams) and standard office equipment (e.g., PC, copier, printer, scanner)
  • Exercises good judgment in selecting methods and techniques for obtaining solutions
  • Self-motivated with the ability to successfully anticipate issues or challenges and understand next steps needed without being specifically directed
REQUIRED EDUCATION & EXPERIENCE
  • High School Diploma or Equivalent. Associate/bachelor’s degree, preferred.
  • A minimum of two years of administrative experience is preferred.
  • Experience in healthcare or science-related organizations, preferred.
