Responsibilities
- Responsible for CRM data entry including contacts and firm.
- Set up and maintain project records in Deltek Vantagepoint, from pursuit stage through project close out.
- Sets up and maintains project specific network and Outlook folders.
- Prepare monthly customer billing invoices and assemble client project status reports, pay applications and lien waivers as needed.
- Support Project Managers with forecasting input and updates. Also serve as a Deltek Vantagepoint resource for them and their staff.
- Provide and help review project reports to ensure the team stays on time and on budget.
- Record daily bank deposits in our accounting system.
- Administrative assistance for operational team tasks.
- Perform office manager duties as needed, which could include greeting guests, mail deliveries, office orders, and building maintenance point of contact.
- Customer service oriented; treats every interaction with staff, clients, sub‑consultants, contractors, and municipalities as an opportunity to market Galloway’s capabilities.
- May perform other duties as requested, directed, or assigned.
Qualifications
- Deltek Vision/Vantagepoint experience preferred but not required.
- Proficient in preparing various reports, balancing, and reconciling data, and identifying discrepancies and determining proper courses of action.
- Demonstrate sound decision‑making skills and maintain confidentiality.
- Ability to work both in a team and independent situations. Flexible and adaptable to changing situations in an evolving environment.
- Responsive to client and employee inquiries and ability to resolve problems.
- Strong computer skills, including experience in various accounting software systems and Microsoft Office.
- Perform in a disciplined and thoughtful manner within a team environment.
Education
- Associate’s or bachelor’s degree in business administration, Accounting or Finance preferred or equivalent work experience.
Experience
- Typically, 2+ years of progressive experience in project administration or project accounting. Background in an architectural, consulting engineering, interior design, or professional services firm is preferred.
Pay
Estimated starting base salary: $58,000 - $63,000.
