Qualifications

We are seeking a Project Coordinator to join our team!

Position Summary

The Project Coordinator will be responsible for managing and coordinating all aspects of project execution from beginning to end to ensure successful delivery. This role involves managing resources, timelines, and budgets to achieve project objectives and contribute to the company’s growth and success.

Essential Duties and Responsibilities
  • Work with appropriate outside reps and internal sales application engineers to identify and manage all sales orders in the standardized and engineered products segment.
  • Be the point person with communications, and work with appropriate reps/customers to verify new pump system orders are complete at the time of release with customer approvals – documents include Pos with annotated T&C’s, scope of work & equipment, approved submittal documents, data sheets, along with any project plans that may include a work schedule, specs, and any other related items.
  • Assign schedule tasks, review & clarify expectations, and monitor the project work to ensure that progress is within expected guidelines and is completed on time and within budget.
  • Define the responsibilities of parties involved in the project including customers, management, project team, vendors, and others affected by the project.
  • Identify, track, monitor, and communicate project-related issues, scope changes (change-orders with cost adders), variances, and contingencies that may arise during the implementation of sales projects.
  • Ensure compliance with company policies, industry standards, and regulatory requirements throughout the project lifecycle.
  • Conduct post-project evaluations to identify lessons learned and opportunities for improvement, contributing to the continuous enhancement of project management processes.
  • Develop and manage comprehensive project plans, including scope, schedule, and budget, to guide project execution and ensure alignment with organizational goals.
  • Coordinate and lead cross-functional teams, fostering collaboration and communication to achieve project milestones and deliverables.
  • Ensure that all projects are delivered on time, within scope, and within budget.
  • Facilitate amicable solutions with the appropriate customer(s) and management.
  • Verify the company’s documentation control and internal procedures are followed in the departments.
  • Identify improvements to standardize the technical build assembly approach to be used on project.
  • Update and/or develop and implement process, procedure, SOPs, and Process Flow tools to advance department capability and improve department integration.
  • Provide feedback to the inside sales department on their orders and other departments on the building and collaborative efforts.
  • Maintain effective communication and working relationships with customers and all team members.
  • Foster a collaborative and innovative team environment, encouraging continuous improvement and learning.
  • Implement continuous sustainable process improvement within all aspects of the role.
Qualifications
  • Bachelor’s degree in engineering, process or technical administration, or related fields.
  • 3+ years’ experience managing the implementation and support of projects.
  • Certified associate in project management (CAPM) is preferred.
  • Familiarity with industry standards and regulations relevant to pump manufacturing and engineering projects.
  • Analytical and problem-solving abilities to identify issues and implement solutions efficiently.
  • Strong attention to detail and a commitment to maintaining high-quality standards throughout project execution.
  • Strong leadership skills with the ability to motivate and guide teams towards achieving project goals.
  • Ability to establish and maintain effective working relationships with all departments.
  • Exceptional communication skills, both verbal and written, for effective collaboration and reporting.
  • Ability to take initiative, work with minimal supervision and oversee multiple projects and deadlines.
  • Strong computer aptitude, which includes expertise with databases, Microsoft Office and MS Project.
  • Willingness to get involved at all levels of the process to support and improve it.
