Job summary

WSP is seeking a Project Coordinator to support our Earth & Environment Team across Lakewood, CO, Salt Lake City, UT, or Phoenix, AZ. You will monitor project progress and assist the Project Manager to meet objectives throughout the project lifecycle.

You will set up opportunities and projects in Horizon, coordinate budgets and schedules, and liaise with subcontractors to ensure timely payments and compliant documentation. Strong MS Office skills and communication are essential.

Qualifications

  • GED or High School Diploma is required.
  • 3+ years of experience in consulting engineering project controls or similar interface with accounting systems.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience with cloud-based file sharing platforms (e.g., SharePoint, ShareFile) is an advantage.
  • Experience in field/supply logistics.
  • Excellent verbal and written communication skills.
  • Deadline oriented with ability to manage multiple deadlines.
  • Capable of working independently or as part of a team.

WSP is currently initiating a search for Project Coordinator for our Lakewood CO, Salt Lake City UT, or Phoenix AZ office. Be involved in projects with our Earth & Environment Team and be a part of a growing organization that meets our client's objectives and solves their challenges.

Job Overview

Monitor and control project progress and support the Project Manager in achieving the project's objectives throughout the project lifecycle. Use knowledge and experience to anticipate project requirements, take initiative in decision making and be able to pre-empt project issues while working independently from the Project Manager in relation to their assigned responsibilities. #GlobalMining

Your Impact
  • INTEGRATION
    • Setting up opportunities, proposals and projects in accordance with WSP's Project Delivery Manual using the Horizon platform (an Oracle-based accounting system)
    • Communicating with the project team to assist with the monitoring and control of budgets, expenditures, and schedules
    • Liaising with subcontractors and suppliers and helping with preparation of subcontractor work/purchase orders
    • Generate project financial reports, including tracking the financial performances of projects
    • Interfacing with the accounting team to ensure compliance with client invoicing requirements
    • Assist with tracking of invoices and project payments
    • Ensuring project files and documents comply with WSP's ISO system
    • Assist with the preparation of proposals
  • INITIATION
    • Assist with opportunity and proposal setup in accordance with WSP's Project Delivery Manual using the Horizon platform (an Oracle-based accounting system)
    • Assist with identifying any applicable Authority and Responsibility Matrix (ARM) triggers
    • Develop ARM approval requests
  • INTEGRATION
    • Setting up and coordinating the project according to the approach outlined by WSP
    • Coordinating the planning and the execution of the project and monitoring performance according to the project execution plan and the contract terms and conditions
    • Liaising with subcontractors and suppliers and helping with preparation of subcontractor work/purchase orders
  • SCOPE AND SCHEDULE
    • Developing and maintaining project schedule and tracking against the schedule baseline
  • COST
    • Setting up and maintaining budgets and expenditures
    • Conducting project forecasting related to cost control
    • Generate project financial reports, including tracking the financial performances of projects
    • Interfacing with the accounting team to ensure compliance with client invoicing requirements, preparation of invoices and assisting with facilitation of timely payment
  • PROJECT DOCUMENTATION
    • Ensuring project files and documents comply with WSP's ISO system
    • Tracking requirements of the quality management processes or plans to ensure they are met
    • Coordinating project team communications, written and verbal, and documenting client meetings, interactions and activities
    • Producing regular progress reports for the client, the project team and other internal and external stakeholders
    • Coordinating data management and information transfer, including setting up and maintaining filing systems, document logs and action-item list
  • Complete training on assigned tasks.
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct, and adhere to WSP's Code of Conduct and related policies and procedures.
  • Perform additional responsibilities as required by business needs
Who You Are
Required Qualifications
  • GED or High School Diploma
  • 3+ years of experience working with consulting engineering project controls or other interface with consulting accounting systems
  • Proficiency in MS Office applications, including Word, Excel, Outlook, Power Point and others
  • Working knowledge of cloud-based file sharing platforms such as SharePoint, ShareFile, etc. is an advantage
  • Experience in field/supply logistics
  • Excellent verbal and written communication skills
  • Deadline oriented, ability to track and meet multiple concurrent deadlines
  • Competent interpersonal when interacting with others, expressing ideas effectively and professionally.
  • Proficient self-leadership with attention to detail, multi-tasking, and prioritization of responsibilities in a dynamic work environment.
  • Ability to work independently under general supervision, as well as part of a team to meet business objectives.
Preferred Qualifications
  • College diploma or University degree in a related field
  • Basic knowledge of project management principles
  • Experience working with Primavera P6 and/or MS Project to produce detailed independent schedules
