Job summary

CSI Companies seeks a Project Coordinator to support activation onboarding projects in a fast-paced setting at our Jacksonville, FL office. You’ll coordinate logistics, maintain project infrastructure, and serve as a subject matter expert for activation tools and processes.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience; healthcare IT experience preferred.
  • 2-4 years of experience in project coordination, operations, onboarding, activation, or related roles.
  • Strong analytical and problem-solving skills with the ability to evaluate processes, identify opportunities, and implement effective solutions.
  • Experience with project management and collaboration tools such as Jira, Confluence, Miro, or Smartsheet is preferred.
  • Excellent written, verbal, and interpersonal communication skills with a strong customer-service mindset.
  • Proven ability to build relationships, collaborate across teams, and influence stakeholders to achieve project goals.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities, meet deadlines, and thrive in a fast-paced environment.
  • Demonstrated ability to work independently, take initiative, and drive projects and tasks through completion.
  • Strong conflict resolution, negotiation, and adaptability skills, with the ability to navigate changing priorities and ambiguous situations.
  • Proficiency in Microsoft Office Suite, including advanced Excel skills; experience with Applicant Tracking Systems (Bullhorn preferred).
  • Basic understanding of budgeting, project tracking, and operational reporting, with willingness to travel occasionally in support of large-scale project launches.

Responsibilities

  • Support the planning, execution, and successful delivery of client activation and onboarding projects across cross-functional teams.
  • Coordinate project logistics, including kickoff events, meetings, resource scheduling, materials, signage, and stakeholder communications.
  • Manage client onboarding readiness by tracking requirements, ensuring documentation accuracy, and meeting critical project timelines.
  • Maintain project infrastructure and systems, including Bullhorn job setup, project workbooks, trackers, SharePoint documentation, and reporting dashboards.
  • Serve as a subject matter expert for Activation tools and processes, providing guidance, troubleshooting support, and system enhancements.
  • Develop and maintain training materials, workflow documentation, process guides, surveys, and operational resources to support project success.
  • Partner with Sales Support, Recruiting, Finance, and Project Management teams to ensure seamless project execution and information sharing.
  • Monitor project metrics, generate operational reports, and provide stakeholders with updates on performance, progress, and service improvements.
  • Coordinate with technical teams to manage escalations, system integrations, ticket workflows, and resolution of high-priority issues.
  • Support continuous improvement initiatives by evaluating processes, implementing workflow enhancements, and ensuring adherence to activation standards and best practices.

Job description

We’re looking for a Project Coordinator who thrives in a fast-paced, dynamic environment where ideas flow freely and collaboration fuels innovation. In this role, you’ll be responsible for providing administrative, technical support and assisting in coordinating various project activities, ensuring that projects are delivered on time. The Project Coordinator will be responsible for coordinating, organizing, reinforcing, and providing oversight of the Activation Processes and tools including enhancements and revisions. The Project Coordinator will serve as a liaison between project teams, Sales Support, and stakeholders to provide ongoing user support and address any questions or concerns related to activation projects.


This position is located on-site in our Jacksonville, FL office

What You'll Do:
