Job summary

Brice Highway LLC in Houston, TX seeks a Project Coordinator to support planning, scheduling, and execution of construction projects. You will work with the Project Management team and VP to ensure milestones, budgets, and regulatory requirements are met, with a focus on CPM scheduling and accurate documentation.

The role requires strong organizational skills, experience with PM software (HCSS, P6, Procore), and the ability to collaborate across disciplines.

Qualifications

  • High School Diploma or equivalent required.
  • Valid state driver’s license and ability to operate a vehicle.
  • Bachelor’s degree in construction management, engineering, or related field preferred.
  • Experience with project management software such as HCSS, Primavera P6, and Procore preferred.
  • Strong organizational, time management, and communication skills.
  • Ability to work independently and as part of a team.
  • Ability to read and interpret construction plans, specifications, contracts, and technical documents.
  • Ability to adapt to changing priorities and a fast-paced environment.
  • Attention to safety and compliance.

Responsibilities

  • Support project planning, scheduling, coordination, and execution to meet milestones.
  • Assist with pricing and cost estimates.
  • Prepare bid documentation and support marketing efforts.
  • Coordinate permits and regulatory approvals.
  • Assist with project startup and closeout.
  • Develop and maintain CPM-based project schedules.
  • Ensure subcontractors receive contract documents and onboarding.
  • Code invoices and track costs against budgets.
  • Maintain project files.
  • Prepare RFIs, DC/VRs, and project correspondence.
  • Prepare and distribute status reports.
  • Monitor contract document compliance.
  • Assist in budgets development.
  • Coordinate buyout process.
  • Maintain submittal logs, cost reports, change orders, O&M manuals, drawings, and closeout documentation.
  • Communicate professionally with clients, subcontractors, vendors.
  • Draft correspondence and presentations.
  • Schedule and attend client/project meetings.
  • Document meeting minutes and follow up on action items.
  • Collect and maintain project reports and photos.
  • Coordinate staff training and administrative support.
  • Foster a collaborative team environment.
  • Report safety/operational concerns to the GM.
  • Maintain safety compliance and perform other duties.

What can you expect?

As the Project Coordinator, you will work onsite in Houston, TX and the surrounding areas working closely with the Project Management team and Vice President to support the successful planning, coordination, execution, and closeout of construction projects. You will perform a variety of advanced administrative, project coordination, and project engineering functions to ensure projects are completed efficiently, accurately, and in compliance with company standards, contract requirements, and project schedules.

How will you do it?
  • Support the Project Management team with project planning, scheduling, coordination, and execution activities to ensure project milestones and deadlines are met.
  • Assist Project Managers and Estimators in obtaining pricing and compiling information to develop accurate cost estimates.
  • Participate in the bid process by preparing proposal documentation and supporting marketing efforts.
  • Coordinate the application process for obtaining required permits, licenses, and regulatory approvals.
  • Assist with project startup and closeout activities to ensure all contractual and administrative requirements are completed.
  • Develop and maintain project schedules, timelines, phases, and work activities utilizing Critical Path Method (CPM) scheduling techniques and company-designated software.
  • Ensure subcontractors receive all required contract documents, project information, and onboarding documentation prior to beginning work.
  • Assist with coding invoices and tracking project costs against approved budgets.
  • Maintain organized electronic and hard-copy project files in accordance with company document retention requirements.
  • Prepare, track, and manage Requests for Information (RFIs), Design Clarification/Variation Requests (DC/VRs), and related project correspondence.
  • Prepare and distribute project status reports for management and clients.
  • Monitor contract document compliance and maintain project documentation throughout the project lifecycle.
  • Assist in developing and maintaining project budgets for review by the Project Management team.
  • Coordinate the initial project buyout process and prepare documentation for Project Management review and approval.
  • Coordinate, prepare, track, and maintain project deliverables and professional project documentation, including: Submittal Logs and Tracking, Project Cost Reports, Change Proposals, Change Orders, Operations and Maintenance (O&M) Manuals, Contract Drawings and Specifications, and Project Closeout Documentation.
  • Communicate professionally and effectively with clients, subcontractors, vendors, and internal stakeholders.
  • Draft correspondence, reports, and project documentation; obtain required approvals and signatures as necessary.
  • Assist in preparing presentations and supporting materials for internal meetings, clients, and outside agencies.
  • Schedule, coordinate, and participate in client and project meetings.
  • Document meeting minutes, track action items, and follow up to ensure timely completion of assigned tasks.
  • Collect, organize, and maintain project reports, including daily reports, safety documentation, inspection reports, and project photographs.
  • Coordinate and assist with scheduling employee training programs as needed.
  • Provide administrative support for company and project operations as assigned.
  • Foster a collaborative team environment by working respectfully and professionally with coworkers and business partners.
  • Report any incident, concern, or activity that could impact the Company's ability to operate safely, ethically, legally, or profitably to the General Manager.
  • Maintain a constant state of alertness and perform all work safely and in accordance with company policies.

  • Advanced knowledge of heavy civil construction practices, project coordination, and construction administration.
  • Ability to read, interpret, and apply construction plans, specifications, contracts, and technical documents.
  • Proficient in Microsoft Project, Excel, Word, PowerPoint, Outlook, and other project management software.
  • Strong organizational and time management skills with the ability to prioritize multiple projects and meet competing deadlines.
  • Excellent written communication skills, including technical and professional writing, editing, proofreading, and presentation of numerical data.
  • Strong analytical and problem-solving skills with the ability to gather information, evaluate alternatives, and recommend effective solutions.

Who is Brice Highway LLC looking for?
Minimum Qualifications:
  • High School Diploma or equivalent required.
  • Valid state driver’s license and qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
  • Ability to pass drug, driving, and background screening.
Preferred Qualifications:
  • Bachelor’s degree in construction management, engineering, or a related field is preferred.
  • Previous experience utilizing project management software like HCSS, P6, and Procore preferred.
  • Prior work experience in the civil construction industry, including operations, accounting, and estimating is preferred.
Working Environment:

The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Brice Highway has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes, and occasional overtime for immediate field support or bid processing may be necessary.
